Welcome to our Monthly Hot Topics Blog!  

First things first – if you’ve seen our Hot Topics posts in the past, you may have noticed that this update is posted as a Blog instead of a Discussion.  

Why did we do that? Our hope is to make our recurring updates and our series updates easier for you to find, AND to provide a way for any “non-Sys Admins” to receive notifications when we share upcoming events and hot topic posts.  

How will this work? Each month we’re going to post a new Comment with all the latest events, news, and posts to (hopefully) make finding updates much easier.  

To make sure you get the latest, you’ll want to subscribe (and make sure to encourage your Group Admins and Power Users to subscribe too). How do you do that?

  1. Click the 3 dots in the top right of this post. (It’s called the Kebab Menu! Just learned that today!) 
  2. Click Subscribe. 
  3. Then relax and wait for the notifications to come in every time we add a new comment to this post.

As we head into the end of the year, just a few last thoughts for this update. @NicholeVargas , @LeslieSpier, and I are so grateful to all the customers who engaged with our events this year. Your leadership, patience, humor, and endless generosity continues to amaze us, and I know that we all feel very lucky to be included in this Community.

For those customers that haven’t had a chance to join one of our Scale events, we wanted to offer a glimpse into the generous advice that other customers share. During our most recent Ask the Experts event, a deeper discussion of Adoption via training and enablement, customers shared their best practices and recommendations, including: 

  • Involve your users – in the training, in the decisions (where possible), in the comms process to gain buy-in and champions  
  • Exercise all of those “Change Management” muscles when planning and implementing training  
  • Consider the Learning Curve, strengths, and the personalities of your users, and lean-in to what works best for those users 
  • Not trying to get them to do everything perfectly all at once - choose different areas to focus on for best practices until it is a habit and then move to another area of focus 
  • For those users deeply loyal to their spreadsheets, help them look beyond themselves to visualize an “Enterprise Mindset” to craft communications and reporting that will resonate with the entire team 
  • Find ways to put their Excel data into Workfront. Deliver them reports and dashboards that look darn like their Excel. Selling point: Workfront is live data.  
  • To try and help with user adoption, consider comparing WF to Excel - explaining it as a more advanced interactive real time spreadsheet, that can be easily reported on. It's been a light bulb moment for some users that has really helped with user adoption.   
  • Be a squeaky wheel. Keep demonstrating/name dropping Workfront as a tool for efficiency. Offer to help them get there.   
  • Find out why they are being "defiant" it could be a training issue, could be an access level issue, or it could be a complete workflow oversight.   
  • Make Workfront as easy as possible to use, understand, and find what they need  
  • Build a Workfront community within your org and make it fun! Examples: 
  • Thankful Thursdays Comms 
  • Slack Channels with GIFs and emojis  
  • Teams or SharePoint pages  
  • Workfront Fun Projects

Sharing is Caring! For those folks who weren’t able to attend our December Workfront Collective event (formerly Strategic Admin Chat, we discussed Roles & Responsibilities and how to communicate those expectations. Customers offered their advice and experience, that we wanted to share out: 

  • How do you decide the number of Sys Admins – too many/not enough? When assigning access (or limiting it), consider their role in the project process, the hierarchy within the org, and any enterprise policy parameters that can provide guidance first before bucketing users into license and access types. 
  • Outside of System Admins and Group Admins, most users have no idea of the scope and depth of Workfront functionality, so when they expect or request more access or a specific type of role, they might not understand what they’re really asking for, and more importantly, what they will be getting. 
  • Communicating how roles translate into Workfront processes, and sharing what you expect from those users (even in the form of a quick RACI-style document), can go a long way. 
  • Some other ideas & best practices shared: 
  • Checking Audit Logs / User Logins for type and frequency of Workfront access 
  • System Admin Job Description – is everyone “accepting” of their responsibilities.  
  • Help users think about their role outside of the context of Workfront – asking, “would this person have this authority/function without the Workfront process/access?” 
  • Ask users what they are trying to do or hoping to be able to do in the system and give access for that specific responsibility 
  • If needed, don’t hesitate to create custom Access Levels – just make sure to name them with something that will make sense to any Sys Admin reviewing later down the road.

Adobe Admin Console Posts on Experience League - Just a reminder for those customers that haven’t moved to the new Admin Console, here are some posts to help you navigate the change.  

Great ideas from Customers! During our February Collective event, we discussed how everyone handles “archiving” projects in Workfront. Customers offered their advice and experience, including:  

  • Using Custom Forms to “tag” older Projects: 
    • Mktg Ops data form with a field for archive older than x years (bulk edit quarterly)   
    • We have a custom project field to list the product plan year for our learning projects.  So completed/archived projects remain in the same program, but they're only visible if you change the view to see a previous year. 
  • The only thing we have really had to "archive" are Requests on a VERY active request queue. After too many requests it gets buggy, so we move the requests from the queue to an "Archive" project to keep them for reporting purposes but to keep the queue clean. Typically, I'll have an archive project for each half of each year. The "Archive" projects have a custom "Archive" status for ease of reporting.   
  • We get the project number from Workfront and then go to our archived job folders on SharePoint, which are archived by job number, to find the project files.   
  • I wouldn’t suggest moving things. I think the historical data loss would be too much for me to handle. For large volumes of older Projects, a Report with prompts can help limit the results as well as “un-sharing” Projects so they no longer show up in the search.

May offerings are on the calendar! We have some fantastic events scheduled this month, so register today so you don’t miss out!

Let’s talk ideas! Did you see the latest blog? Our fearless Sr. Community Manager, Jon Chen (@jon_chen), has been working with our Product partners to improve our ideas process. Check out his blog below, where he’ll share more updates in the coming months. 

Upvote opportunities: In the meantime, check out these ideas that have been shared by customers in our last few events, and don’t forget to give them a “like.”  

We say it all the time, but just a reminder that the best part of any Scale event is engagement from YOU -  our customers!  As an example, if you didn’t get a chance to attend our Workfront Collective last month, check out the advice shared by customers on Strategic Practices for implementing Resource Management. 

  • Prioritization of work is key in order to identify where resources can be moved   
  • The order matters.  Evaluate work first – for requirements, for priority, for approval from leadership.  This is where a governance process comes in handy.  
  • Speaking of governance Find your “hammer.” That person that has thick skin, the ability to communicate and maintain relationships, but that also knows how to say no.  
  • Sharing is caring. Using your voice to share what realistically can and can’t be done as well as advocating for others that might be overwhelmed is powerful.  
  • Make sure the lines of communication are open.  Maybe even daily meetings to start, to check in on priorities, resources, and new requests.  
  • Planned work doesn’t have to be requested. If you’re building a backlog process, work that is already anticipated can be the first items on the backlog.   
  • Align work to scorecards and organization strategic initiatives.  Maybe start with the “planned” projects – the ones that everyone is familiar with to build that process.
