I'm not on the new license types yet but it sounds like it's a permission based thing where they have manage access to the project which allows full access. You can typically limit access through the projects/templates or in the sharing permissions.     

The only way to limit the height of the row is to do as you've mentioned and limit the amount text allowed to appear through text mode. Ah, the arrow is what I was missing.   In the summary panel you don't have to arrow down it auto highlights the first user name that pops up.     

They don't allow videos to be uploaded but I tried to get a better screen shot for you to show you where you need to "click"
