Survey- How many of you out there use Job#'s for your creative work?

Hi All, Coming from an agency background- job#'s are the glue that hold everything together. And w/WF- it appears I'll have to settle for a work around- I'm curious how others have tackled the job# condundrum. tks Karen

We are using the project level reference number from Workfront and inserting a three letter client identifier in front of the number in the project name. Example: ABC_12345 Project Description. For us, the transition to a different numbering system has been seamless.

This is still an issue for us as well and we've been on WF for close to a year. We're still picking our numbers from a separate application. When we attended one session on the LEAP conference for creative agencies, this issue has also come up. Please submit a feature request - the more of us send this in, it might just be something they'd start work on.

Hi Karen, My Creative Group feels the same way about job numbers. We have added a field to the intake forms for issues that allows them to add the job number for easier searching. For projects they attach the forms which have the field. There were too many transaction numbers for them to utilize that method. Hope that helps. Dianna

We LOVE job #'s!! So what we actually started doing (other than the custom form data) was putting the 4 digit identifier in the name of our job/project. So our process for job/project names looks like CLIENT NAME - PROJECT NAME - Job # . Its convenient as well because that # ties back to our financial integration for billing. Making it easier for PM's to doing their billing each month. Hope this helps! -Joe Ray

We're in the same boat. When creating a job number (Year-ClientAbbreviation-RequestNumber), we include it in the request subject when it comes in, then add an identifier so we can separate requests from projects. So a request would be something like 16ABC214R and the matching project would be 16ABC214P.

We are just getting started in the system and we know this is going to be an issue for us. How are you using a separate system for numbering? Do you just reference a list that can generate sequential jobs? Do you maintain that list as a document within Workfront?

Are you just typing a random number at the end of your Project title? How do you determine what the job# will be?

Hi Diana, this is a sequential number generated from our Accounting software. So we just pick that number up and carry it over. Nothing logged in Workfront outside of the job name. Hope this helps! -Joe Ray

Hi Karen, We actually used a vendor (Simplus) to create an integration with our financial tool to "attach" a job number and its information to a project in Workfront. They created a search tool and then a select button once the PM found the correct number. This then brings in a ton of important information onto the project's custom form. It cost us extra money but was super important as we need to have standardized reporting across all our business units when it comes to Client, Division, and Product.

All of our projects come through a Request Queue. Within each custom form we place a field for a Custom Reference Number (Job #). We use the automatically generated number from Workfront and add a 2-digit year and 2-digit month at the beginning. All of our job names begin with this number, including folders and file names.
