Delegating Approvals

Avatar

I have been training people at my company on WF and I've been telling them if they delegate their approvals during a certain time, that they WILL NOT get emailed during that time frame. Only I set this up with two test subjects (so I wouldn't clog up anyone's actual inbox) and I realized that the person I put as my approval delegate is NOT getting the proof and the test subject on vacation is still getting the proof and also an email said that they need to look at that proof. Why would someone who delegates their proof approvals still be getting emails and also getting that proof in their work list? And why wouldn't the actual person who the proofs are delegated to get notified to do so? Deanne Curley The Vitamin Shoppe

I could be wrong, but out of office delegation is for approvals not proofs. Samantha Senior Specialist, Creative Services 817-424-2186

Sorry I sent this directly to you but not the thread. MY test subject is setup with a Reviewer License, which means she cannot click on tasks she's assigned to in projects. So I am wondering what is it that the Reviewer License is actually delegating to someone when they choose to delegate approvals if it is not proofs? Deanne Curley The Vitamin Shoppe

If you're referring to Workfront Proof approvals, the 'Delegate My Approvals' doesn't apply to those, only Workfront (tasks, projects, issues). This is very disappointing and very confusing for Review license users who visit the 'My Updates' page, see a list of Proofs (from Workfront Proof/ProofHQ) and then directly above them see a 'Delegate My Approvals' button, only to find that it does nothing... by the way, it doesn't apply to workfront document approvals either. Just task, issue and project approvals. When you click on Delegate My Approvals, the fine print makes it quite clear. -skye

Thanks Sky, it's funny I never noticed that little gray fine print before - though I've only clicked on the delegate button one time prior. We just started using WF and I've already got complaints about this from a quite number of people. I updated my comment above so it's not misleading (I never tried it with Document approvals since we don't use that feature at the moment). Sean

I had no idea about this limitation and it certainly will cause confusion as my teams start trying to use Approvals more often. I searched the Idea Exchange and saw nothing about this so I set one up. It's a serious limitation for a marketing platform... not being able to delegate documents....
