Creating a section on a custom form that Requestors cannot see or edit

Avatar

We used to be able to create sections on an intake form that Requestors could not see or edit, but the receiving team members could see and edit without requiring admin access.

Now, with the updated section break options (view, limited edit, edit, admin) I am struggling to figure out a way to make a section appear for project managers but not appear for requestors.

Here is the set-up:

  • Project Managers have Manage access to the queue
  • Anyone can submit to the queue
  • Requestors receive contribute access to the requests they submit
  • There is one section on the request form where you need Edit access to view and Edit access to edit the values in the section
  • The intake form is used on issues, tasks, and projects

How do I make it so that only the folks with Manage access to the queue can view and edit that section? I've tried limiting the requestors to only view access when they submit a request but then that prevents them from seeing ANY sections on the form.

Hi @MikeMcGovernC1

Thank you for your question! If you want to configure the section so that only folks with Manage access can view and edit it, you would select "Edit" for both options (permission to view & permission to edit).

View = View

Limited Edit = Contribute

Edit = Manage

Grant Access to Sections

As long as the Requestor users receive only Contribute access to the object when submitting a request, they would not be able to view or edit this specific section. This setting should not affect the other sections on the form though. The Project Managers that have Manage access to the object would be able to view and edit this section with no problem.

If this is currently setup and you find that the Requestor users are getting an 'all-or-nothing' experience, we would love to dive a little deeper into this with you. I would recommend submitting a support ticket with specific examples so that we can troubleshoot the behavior.

Thank you Monica. I always fiddled with it until it worked how I wanted. The wording on the field label is kinda confusing but now I totally get it.

Hey Monica - thank you for contributing this solution. This is currently setup and the Requestor users are getting an all or nothing experience. I will submit a support ticket with specific examples.
