If you’re like us at Workfront, every January we start a ton of new projects. So I started to wonder what is everyone else working on in Workfront these days? Tell us all below what projects you’re working on this month (or something you finished recently) and you’ll be entered to win a $10 gift card of your choice! I’m creating projects to help me keep track of developing some new programs for you, our wonderful customers, things like more Quick Tips, a Community Corner, and tracking my ad-hoc work in Workfront. All while trying to find the balance between over-engineering the project, but creating enough tasks and reports to keep me on track.

Cool topic Kyna!

This month, my Top Three Initiatives include:

  • Created a Workfront Project to track and map responses to an online campaign, effectively "Mapping the Grapevine"
  • Developed a new image-centric Editorial Calendar for managing Social Media Campaigns (etc.)
  • Developed a new Gantt Chart so PM's can crunch alternative schedules using Baselines and visualize the effect (whether Good, Bad, or Ugly), colorized by phase

Ok, so all of these sound interesting. You're using a Workfront project to rack responses to a campaign? Like automatically? Or are you managing the work to support the campaign?

Also, an image-centric calendar?? I think you need to show me this Doug. I'd love to see it on a call sometime. Please reach out!

One of the far too many projects I am working on right now is planning/organizing/conducting a complete property photo-shoot to make sure that all of our images are cohesive with lighting, styling and photographer. As fun as that sounds its a huge undertaking.

• 5 hotels that need every room option and common area, fitness center etc shot.

• 2 spas that need every room option, relaxation area, pool, Jacuzzi, sauna, salon etc shot.

• 4 casinos that need all the exterior/interior and gaming type areas shot

• 5 golf courses, 2 with clubhouses

• 31+ restaurants

• 25+ Meeting/Conference rooms

• 1 Car care garage

• 1 hunting Preserve

• 1 Salmon fishing campground

• 1 RV Park campground

• 2 convenience store chains

I'm sure there are more that I forgot. So as you can see I am going to be very busy this year. I just hope it doesn't take away too much of the time I spend learning more in Workfront (my preferred way to spend my time 😁)

But, Workfront has been a huge help with organizing all of this. Creating the steps for each shoot and being able to share my research planning through Proof HQ and eventually we review the photographers images through Proof HQ as well.

Oooh, that sounds like such a fun and huge project!! Do you get to go on site to all of those properties to see the photo shoots??

And it's totally true that we all have way too many projects.

Are you looping in dates and assignments for this entire photo shoot? I'm wondering if you're doing all shoots as one big project or breaking it down somehow with programs and portfolios?

Yes I have to art direct them so I need to be at all of them. I like doing them but then I need to make up all the time I missed at the office so it can get daunting.

I am breaking it down by area. For instance Accommodations is 1 project with all of the basic photography tasks in it BUT once we confirm each location we are shooting they will get broken out into Parent/child tasks to complete based on those photo-shoot dates.

OR

I may use this Main Project as the "Planning the shoot" project and make completely new ones based on each shoot. Haven't decided yet. But when I spend that much of my time and the report I send to executives only shows 4 projects that doesn't look as impressive as it would to make them all their own project. LOL

Woah - now I'm super impressed. You're art directing AND project managing all of this! I think we should call you Wonder Woman!

As for "only" 4 projects - make sure you put the planned hours on each task at the very least to show how much time you're spending on each of those things!

We have several large initiatives happening as well. Here are some of the most exciting:

  1. an auto-send of Mailchimp survey to the primary contact upon closure of their request to gauge satisfaction
  2. auto-send of status update emails at each milestone of a projects lifecycle to keep stakeholders up to date on progress
  3. We just kicked off our first COE session this month!

I am fairly new at this company and finding all kinds of ways to optimize and expand Workfront in so many areas. I am sure you all know how it is... the Workfront word gets around and pretty soon other teams are reaching out for implementation for their own work processes.

I love the auto-send survey at the end of a request! What a great idea! @Harriet Truman‚ just was talking about using surveys to gauge engagement overall too.

Good luck kicking off the COE. I'm sure you'll see returns from that!

@Rhonda Triggs‚ - I would LOVEE to know more about this! Our customer onboarding team uses Workfront for projects and right now, they manually send the post onboarding surveys and I would love to have this automated for them.

For those of you that were interested in hearing more about the automated surveys, Sogeti consultants tagged here built the Fusion automation to send Survey Monkey surveys automatically. We opted to use HTML emails from an O365 noreply mailbox instead of Mailchimp to handle the email sends...

it is working beautifully and the dashboard with the incoming stats is AMAZING! Props to the Sogeti team!

I love seeing what everyone is working on! It's giving me great ideas.

Lately, my top 3 priorities are:

1.) Learning to use Fusion and setting up basic scenarios to improve our efficiency

2.) Developing the resource management tool with my team using custom reporting and ever so many trainings

3.)Expanding our usage of Workfront throughout 6 core teams on our marketing department. That includes reporting, tracking utilization, customization, and again...ever so many trainings!

What core teams are you expanding your Workfront usage to, if you can share? I think it's always interesting to hear exactly who is using Workfront in an organization.

We just implemented Scenario Planner and Goals so I've been working on getting those set up. I'm also working on creating a request queue for our IT team for software requests and lastly I'm registering for the WF Intermediate System Admin Bootcamp and going for the certification!

Our focus in Q1 is piloting a campaign management model using a new campaign project template with embedded request queues, and expanding the user base with our regional marcomm teams across the globe!

Oooh! Expanding across regions is always a fun challenge. How many regions and languages are we talking about here? I'm assuming this is going to mean some late nights/early morning meetings for you to get trainings out the door?

This is helping me think of more things to consider

My top priorities are:

  • Getting a 2020 baseline to start exploring how to tell the story that Creative Ops is achieving high-level goals within Workfront (better data clean-up, more efficient support, training users)
  • Developing streamlined reports that can help all leaders instead of reports tailored to one specific team's needs
  • Creating a Day in the Life guide covering my role's activities and the cadence
  • Creating a Workfront Roadmap for our specific instance and growth plans to span 2021-2022

I love where you're headed Monique. I think it would be interesting to combine the Workfront Roadmap with your baseline and goal reporting so you can show how driving that roadmap is really a high-level goal and what it achieves for the business. Now you've got me thinking!
