Communication and collaboration within the context of work is an essential part of any organization’s system of record. This week’s Did you know? Toolkit offers several out of the box ways to maximize communication and collaboration in Workfront, along with a reporting script to help you visualize the latest update for every project you manage. We conclude with a few FAQs regarding our 20.1 release. Useful Practice Tip: Historical project communication should be stored as part of the project plan for the purposes of performing a project retrospective or even passing an audit. Ensure project communication is reflected in Workfront by leveraging our robust collaboration capabilities and native integrations with Slack and MS Teams.Tag other users or entire functional teams into threaded discussions, or tag an entire project team with the Update All feature. This feature can be found under the Staffing area in Workfront Classic, described below, or the People area in the New Wo
Did you know? You can set how reports display on a dashboard within the report settings. Let's walk through how this works. Each report has four settings that affect how the report displays on a dashboard: Run this report with the Access Rights of:When the Report loads, show the:When the report loads on a dashboard, show: <number> itemsShow Prompts in Dashboards Change these settings on an existing report from Report Actions, then Edit. Once you’re in the report builder, click Report Settings in the top-right corner. You also can establish these settings when creating a new report. The first section — Report Options — contains three of the four settings. 1. The first setting is “Run this report with the Access Rights of.” With this feature, all users — regardless of their access level or permission level on items inside the report — see the same results in the report as the user designated in this field. To continue the 3-part System Administrator series on people, process and technology, this week’s blog will focus on understanding your processes, from the perspective of administering Workfront. Summarized below are four key areas outlining the work management understanding that you need to have based on feedback from others just like you, who’ve not only taken on this role but have created a successful career out of it. Often the role of System Administrator will include helping to define, manage, monitor and maintain your organization’s way of working. This means that you are part of creating the overall workflow process — maintaining both knowledge and facilitation of how work gets done. To get you started on defining the baseline for your work processes, ask yourself the following questions: How is the work being requested? How is work being fulfilled? How is work being reviewed and approved? How is work completed and handed-off?How is work being assessed for value, priority, a
As general availability for the new Workfront experience nears, many customers are asking how they can train their users, when they should update training and documentation, etc. To help with the transition from Classic to the new Workfront experience, the Workfront training team created Getting Started slide decks for Work, Plan, and Collaborator license users. You can download these slides and use them as is or edit the decks with your organization-specific instructions and screenshots. These decks should be helpful in transitioning users to new Workfront experience, leading lunch and learns, or onboarding new users after general availability. The guides are available on the Learn the new Workfront experience webpage, under the Enablement Kits section of the downloads. Make sure to “Like” this post if you find it helpful. To ask questions about the new Workfront experience, please post the details in the comments section below. To share feedback, t
Workfront is at the heart of what we do every day. Everything we do in professional services, both internal and customer facing, runs through Workfront. Our project managers and consultants use robust templates that direct more than 100,000 hours of consulting effort each year. When a new customer buys Workfront, Fusion, DAM, or any Workfront product requiring services, a Fusion “Salesforce-to-Hub(Workfront)” integration immediately spins up and populates all the information gathered by our sales team into the implementation project and automatically assigns the project manager as the owner of the project. Between the Fusion integration and templates, we save hundreds of hours of project setup each year. Professional services is a major source of revenue for Workfront, contributing to our overall success and profitability. Using Fusion, we’ve integrated Workfront with Netsuite to ensure that our forecasting and revenue recognition is timely and accurate, and that everyone that need
Everyone knows the excitement, anticipation and anxiety you experience on your first day at a new job. Through project templates and reports in Workfront, several teams execute on a series of tasks that ensure our new hires have a smooth transition and an onboarding experience they will never forget. As soon as a candidate accepts a job offer, a New Hire Checklist project is kicked off. Tasks such as their seating assignment, desk setup, access badge, parking access, software and hardware setup, systems access, and and welcome box shipment are on the list. It also includes tasks specific to their department. On day 1, the new employee is assigned a New Hire Onboarding project. This project includes everything a new employee needs to know and do in their first 2 weeks on the job. This includes benefits paperwork, software training, profile setup and of course banking information (so they can get paid).Take a look:Of course, all good things come to an end. Workfront has made it
A responsibility assignment matrix (also known as a RACI matrix) is a common tool for communicating roles and responsibilities on a project. The intention of using a RACI matrix is to clearly communicate who is responsible, who is accountable, who should be consulted, and who should be informed throughout the life of a project. This article discusses what to consider when building a RACI matrix in Workfront as well as some of the trade-offs that come with different approaches.Where to Build Your RACI MatrixThe first consideration to make is where in Workfront should your RACI information live. I have generally seen two approaches to RACI matrices while working with Workfront clients.RACI fields added as custom data to projects. This approach makes sense for projects with shorter schedules or projects planned at a lower level of granularity. As a general rule I recommend planning projects at a milestone level when getting started in Workfront. Less project tasks means less overhead for u
My name is Danielle Riccitelli and I’m a Group Manager, Product Management at Adobe Workfront. More specifically, I am responsible for all things Agile within Workfront. I wanted to take a moment to share my thoughts on agility, from why you would want to consider agile ways of working, and more importantly, the massive power that comes from harnessing Agile and mixed-methodology work management within Workfront. First off, what do we mean by Agile? Agile is a set of principles, but it's also a mentality and a new way of thinking. It is a transformation in the way organizations structure themselves, plan, execute and iterate on work. Adobe Workfront’s State of Work report uncovered that 60% of workers are either completely overwhelmed or are barely hitting their deadlines. It’s not
Did You Know? Disconnect During the Holidays By Delegating Approval Requests. The holiday season is upon us and, for many, this means time off! Time away from the office is essential—but logging in to Workfront while away to make approval decisions is not. Did you know that Workfront helps you disconnect by allowing you to delegate project, task, and issue approvals to a single user for the duration of your absence? While you’re away, work still needs to get done, deadlines met, and approvals made. Delegating your approval requests to a trusted colleague allows you to be away without having to worry that past-due work will be stuck in your queue, awaiting your return. You can pick and choose the start and end dates of this delegation period, or leave it open-ended if you are unsure when you’ll be back. When you delegate approval requests, the user to whom you have delegated approvals receives an email notification regarding approval activity. To un
Did You Know? Send a proof to anyone, using just an email address. Reviewing and approving digital content can be a manual, tedious process that delays your projects and pushes back deadlines, especially if a decision needs to happen from a person outside of your organization. Did you know that Workfront allows you to share proofs with anyone for review and approval, using just an email address? You are not limited to users with an active Workfront account or who belong to your company—you have an unlimited number of guest reviewers and approvers who can request edits or make decisions on a proof. A proof in Workfront doesn’t necessarily have to be a document, image, or PDF. Unlike other proofing tools, Workfront supports a variety of file types for proofing, all of which are listed in the article, Supported proofing file types. Depending on your Workfront plan or integrated environment, you may be able to generate a proof from a URL as a screen capture or
Workfront reports don’t just have to be a simple list with standard views, filters and groupings — they can be dynamic visuals used to tell a story, compare data, paint a clear picture of how work is getting done across the organization and keep the targeted audience engaged. There are six different types of charts in Workfront — bar, column, line, pie, bubble and gauge. Learn how to apply a chart to a reportIn order to apply a chart to your Workfront report, you must first add a grouping. For a quick refresher on report groupings, click here. Once a grouping has been applied, you can begin to create and customize basic or 3D charts to highlight data trends or patterns in an attractive and easily digestible way. And if you want to have the colors match your company’s style guide - no problem - enter in the appropriate RGB code. To learn more about adding charts, review the article, Add a chart to a report, and watch the short, 6-minute video, Create charts with reports, on Workfro
As you, your leaders and your organization consider proposed initiatives in the future, available resources need to be considered first before work gets approved and underway. Think of the Resource Planner as a transaction register or a means to capture available capacity based on resource allocation. As each project in prioritized order depletes resources from capacity, less is then available for proposed future work. Eventually, resources may run out leading to a negative number (as shown in red) in Workfront. To continue the Resource Management series, this week’s blog will provide steps on how to successfully use the Resource Planner to ensure successful capacity planning in Workfront. 1. DEFINE THE DEMAND In order to know if capacity can meet demand, you must first have an accurate picture of the existing and desired demand for work: In Flight Work Demand - The total amount of work represented in projects that are already created and scheduled / assigned to
One of the most important aspects of successfully using software is the maintenance of it. One step further is the inevitable cleanup that must occur when the system has gone through challenging times—this is especially critical when your Workfront system administrators change and too many objects are created without reviewing what already exists with colleagues. This week’s blog focuses on how to review your Workfront instance to find old or outdated items, recommended actions to help keep the system organized, and tips for preventing clutter moving forward. IMPORTANT AREAS FOR CLEANUP If you’re not sure where to start when it comes to cleanup, consider the major areas in Workfront that tend to be the most cluttered—custom forms, templates, projects, and users. Below are some recommendations to help with system organization in each area. Custom Forms— Custom forms are one of the most highly used features in Workfront, as organizations use these to capture specific metrics. If
It’s been a few months since Workfront was acquired by Adobe, and the overwhelming consensus from the media and from industry analysts is that it’s a fantastic match that will benefit both companies and our customers. Some of you have reached out with your thoughts, which I sincerely appreciate. Many of you have expressed enthusiasm as you are customers of both Workfront and Adobe, and can see the potential of the partnership, and some of you have expressed concerns. I wanted to share my perspective on the benefits for not only Workfront customers, but Adobe customers as well. I’ll start by saying the people that you have grown to love from Support, Customer Success, Account Management, Professional Services, Training and more are still part of the Workfront family and dedicated to your success. We hope that engaging with Workfront over these last few months has been the same, if not a better experience, than it was prior to our joining Adobe. Expect this to keep getting better.&n
Training > Additional Resources > Training blog > Gain faster collaboration with a custom note report Tired of sifting through project updates and threads to find one you’re looking for? Sometimes that list is like an infinity scroll... it goes on...and on...and on... Here’s a handy report you can create to find what you’re looking for fast! Why you should create a note reportOn a project landing page, you can click “Updates” and see all the notes and threads added by users collaborating on the project. You can also see all “system updates,” such as status and date changes, granting of access rights, document uploads, etc.You can scroll through the list to find the update you want, but the list of updates can get very long and you may find yourself clicking on the Show More Updates button over and over. Plus, if the update you’re looking for is embedded in a thread, you’ll have
First and foremost, as the Chief Customer Officer at Workfront, I want to take a moment to thank you for all for being great customers. Thank you for letting us into your businesses and, for many of you, into your lives. I always appreciate your willingness to really partner with us and to share your feedback - both the good and the not-so-good - in very candid, constructive ways. Your willingness to evolve with us helps us become a better company, and for that we are grateful. The last few months have been difficult for everyone - both professionally and personally. Having young children and a work-from-home spouse myself, I can empathize with the challenges you are facing. I also know that many of you are in industries that are suffering - you are dealing with furloughs, layoffs and increased workloads. One of our great customers who processes unemployment claims is working 24/7 with everyone up to the CEO on the ‘front-line’. We realize this new environment can l
No need to navigate away, include a webpage on your Workfront dashboard. Are there numbers you pull from another system to include in Workfront custom forms? Do you want to make a Workfront request queue more accessible? Do your users regularly access a web-based document management system or wiki that contains needed project information? Including URLs on a dashboard allows your users to navigate quickly and easily to live websites without leaving Workfront. Before you jump into the setup, there are two conditions that must be met—the URL is encrypted (https) and the website must allow embedding as an iframe. You may be asking, what is an iframe? “An iframe (short for inline frame) is an HTML element that allows an external webpage to be embedded in an HTML document. Unlike traditional frames, which were used to create the structure of a webpage, iframes can be inserted anywhere within a webpage layout
Importing content from a URL during message preparation enables you to retrieve the latest HTML content each time the email is prepared. This way, the content of recurring emails is always up-to-date at the time of their sending. We have improved the retry mechanism for deliveries including content imported from a URL. Read here for more details: Retrieving content from a URL automatically at preparation time Please feel free to reach out through the below comment section in case you have any questions.

AEM Unit Testing With Groovy & Spock by Juan Ayala Abstract In my last post, I explored three different ways to use Groovy in our AEM projects. Using Groovy to build OSGi components, servlets and models seemed the most promising. Now I bring you a fourth one that I find as promising. Unit testing with Groovy & Spock. There are a lot of topics here. TDD vs. BDD. JUnit vs. Spock. Groovy vs. Java. My goal here is not to give you a complete analysis. That's up to you based on your team composition and client. I am going to give you some context. Then I will show you is how to set it up in an AEM project and show you a few examples. TDD vs. BDD You can spend some time researching Test Driven Development and Behavior Driven Development. To put it simply TDD is for a small technical audience, such as developers. To test small pieces of code. In AEM this could be a Java Sling model or OSGi service. BDD is for a wider audience outside of the development team. Developers, QA test

AEM Proxy Component Pattern and Component Versioning by Suryakand Abstract Most organization want to keep content and user experience flexible so that they can innovate and deliver new experiences/features faster. Flexibility allows organizations to reuse what has been built already and keep adding new features and functionalities on top of it. One of the key characteristics of flexibility is backward compatibility and non-breaking changes. This flexibility comes with a clear definition of a strategy for content creation and user experience. In this article we are going to look at 2 very simple but powerful component development strategies that organization (specifically technical teams) can adopt to win the flexibility game and stay ahead in competition of delivering rich user experience. Let’s start with a scenario/problem statement. Assume that a large banking organization has business in multiple countries. The organization is using AEM and MSM (Multi Site Manager) to manage
