Report That Singles Out the Last Update Date from the Project's Owner

Avatar

Level 2

We're looking to create a hygiene report/chart that shows the project's Last Update Date specifically from the Project Owner. So we could see, for example, that Project XYZ is owned by Mike, and Mike hasn't updated project XYZ since last October. Other people may have included a note or made a metadata update, but we want to see evidence of active project ownership (or lack thereof).

Ideally, this would be a Project Report, but we've been having trouble filtering specifically for the Project Owner's date of last update on that specific project. We thought we had, but it was Mike's date of Last Update in the system, not the project in question. Mike got credit for updating 10 projects, when he only updated 1. And while we can filter using a Note Report, we end up with multiple line items per project, having trouble isolating the Last Update
Date. I've made several attempts to filter in text-mode, with no success yet.

Hi @JessicaCh,

For a similar challenge, we created The Scoop (which I invite you to consider deploying into your environment (noting it's free...).

For your specific requirements, you could add a NOTEXISTS filter to return only those Project whose Owner has not made a non-null Note Text (i.e. human entered, vs system entered Audit Text) "PROJ" Note within some reasonable window of time.

Alternatively, since the latter, might also bring back trivial edits, this could be a good opportunity to use my Targeted Auditing concept to track edits by (only) the (current) Project Owner to a "Current Project Status" text custom parameter in a (date-prefixed) "Project Status Update Log" calculated custom parameter to make auditing such updates easier (and indisputable).

Finally, I invite Those Serious about monitoring and enforcing Proper PM Cadence to also read about Automatic Weekly Status Reporting, consider our Project Status Report and/or Executive Status Report solutions, and email me via doug.denhoed@atappstore.com to chat further.

Good luck with whichever paths you choose: I'm interested to hear how it goes.

Regards,

Doug
