Does anyone have any suggestions for integrating a full Marketing Calendar with Workfront that all users can have access to? Keny Conde Orlando Health

I would be very interested to hear everyone's thoughts on this. One of the biggest complaints from our marketing department and even our clients is that there is not a place where they can see this promotional piece is going out on this day. Right now, what we do is establish a specific template task that is consistently the same task name. Then, the send date is the due date of the task. On a calendar, we map out all of the tasks with that name and the project name displays on the date of the send as the calendar entry.

We currently do the same. Am looking for alternative method that can show the span of full campaign run timing and/or of each deliverable within the campaign.

  • Know you can manually enter items into calendars and choose the span dates.
  • Know you can pull job dates and use gantt view.
  • Know you can pull in job or task dates to represent the deliverable launch - but not span.

Each of these fall short of providing the best big picture view while allowing for quick access to supporting details (some options above can, some cannot) as well as ease use/maintenance.

I would use kind of the same method as Christina is suggesting. You can make sure to have the same task name in all your schedules, the other option would be to use a milestone to mark this specific task, if you want to name it differently in projects. Afterwards you could use a calendar to filter on task name or milestone. Or you create a dashboard and add the calendar with the specific filters to it, if you also want to show some extra information. Laura Rackwitz

We do something similar to Christina but I use Milestones instead of a task name. The main problem is looking at the past, the calendar feature switches to Actual Completion Date and if someone doesn't mark off the Milestone task properly then the date shifts on the calendar from Planned to Actual, so we can't rely on the Workfront calendar at all.

You may want to check out those options again, if you haven't already. Workfront addressed this need about a couple months ago and it seems to be working well for us now (yay!).

I would love to see this as a gantt chart report (or filter/view for program/portfolio). I have an idea submitted to help get there by allowing custom date fields on a gantt chart: https://experience.workfront.com/s/idea/0870z000000PSMCAA4/detail There's currently no elegant way to do this with just Workfront. This is exactly the problem we face. I have talked with Product Managers at Workfront about this, but at the time there was no plan to allow for 'Planned Date' to be displayed vs. 'Actual Date'. Kind of defeats the purpose of the calendar. David Hancock

I've had multiple conversations with the Product team at WF about this - and it doesn't seem to be a feature in development currently. I would love a full marketing calendar that could drill down to the project / task level but give the team a higher level view of everything going on. While some of us are fine looking at the program level gantt chart - that only includes the project level data and milestones so you can only get so far. It doesn't give you a nice clean view of phasing or media planning / pulse periods etc. Ryan Carroll Integrated Marketing Services

Yes, exactly what we're looking for. This would help multiple roles in our organization be able to easily access and digest the marketing calendar information and those in the need (with proper access) the details as well. What did you ultimately go with? We are trying to set up a marketing calendar and are running into issues with the high level view.
