You can also create a template which assigns a specific person or role to any position of responsibility within the project. Owner, Stakeholder, Resource Manager, you can assign specific tasks, etc.
Unfortunately, I do not think what you want to achieve is possible. If it were me I would open a help desk ticket and ask a question to the proofing experts. I don't think there's a way to combine anything in ProofHQ.
We have noticed this behavior in our environment and what you suggest would be a great help. As a workaround we have a master calendar which is populated from a manager populating the calendar with everyone's time off so that we get the desired visibility.

We are heavy users of PHQ, and it is the product that brought us to Workfront.. saying that we exclusively use it via generated proofs in individual projects.. I am the only one...
Are you trying to upload a proof from within Proof HQ? Our typical process for uploading a proof version is in Workfront, not PHQ.
Go to Project -> Click on Documents Tab - Click on Document / Proof to be updated
Click Add New -> Version -> Proof

I suspect that there is something that needs examination in your environment. We have been long time Proof HQ users since before it was officially a part of Workfront and we have never seen the issues in proofing that you've described.
