Workfront Proof: Emails when multiple people attached to review stage but only one decision required

Avatar

Here's the scenario: We have a QC team of three people. They are assigned to a stage to review in Proof, and "only one decision required" is needed. What happens if there are edits needed: when the next version is uploaded, do all three get another email, or only the person that made a decision the last time? I know a proof owner can manually remove the people in between rounds, but "manual" is a four-letter word. I'm thinking it's scenario A, but the email overload is concerning some of our BPs so I wanted to make sure I didn't miss anything. Thanks, Ryan Ryan McGee

Hi - we use this functionality A LOT! When you upload the second version, it brings in everyone from the first version. So all three QC people would get the next version. Yes, there are a lot of emails (we route an average of 500 proofs a day), you can turn off the emails by uncheck the notify users box in the proof upload screen, but my people like to get the email to at least know something is waiting. The exception is if they come back from a meeting, a day of PTO, etc. and they see a bunch of emails. They will then go to Workfront Home and filter on Approvals so they can see what is still outstanding instead of going through each email individually. Hope that helps. Anthony Imgrund FCB
