Why would WF allow edits to be made to a proof in a job that's already closed?

Hello We closed a project, the status is 100% complete and all the tasks are marked as done, however we are still able to edit the proof. Is this normal? Is there a way to prevent further editing to the proof after the project is complete? In advance, thanks for your comments.

HI Jair, Workfront Proof workflows, settings and statuses are separate from the project plan statuses and settings behavior of tasks. Proof completion and task completion are not natively linked via the base integration though automations can be built in Workfront Fusion or other automation platforms to link the two so that a task would be able to be closed automatically when the final decision is made on the proof, or, inversely, a proof can be locked when the project or the task it is attached to is closed. For now you should likely use your "Lock stage" setting in the proof workflow stage details to have the stage locked "When all decisions are made". This presumes that the final decision has been made on the proof prior to your closing the project. You can also set this Lock stage setting to "Manual" so you can lock the stage (or all stages) whenever you like, i.e. when you close the project. Once the stage or all stages are locked, no further comments or edits can be made on the proof at that stage for that version. To prevent users from uploading new document proof versions to completed projects, make sure you have configured the setting in the Admin Setup area under Project Preferences>>Projects>>Life After Death to uncheck the setting "Add Documents (projects, tasks & requests)" for projects that are marked 'Complete'. Hope this helps. Best Regards, Steve Steven Hirsch Creative Acceleration

Thank you very much for the reply Steve. one additional question By clicking in the "Check out" option, would that prevent people from making edits to the proof? In advance thanks for your comments.

Hi Jair, Check out this support article: https://support.workfront.com/hc/en-us/articles/217045787-Checking-Out-Documents It states that a document can still be proofed when checked out. Locking the proof is the best way to prevent further comments and annotations. Cheers! Steve Steven Hirsch Creative Acceleration
