Out of Office Delegation

When a resource goes out of the office, weather it is 1 day or 6 months, sometimes timelines cannot shift, so someone else needs to complete out tasks, issues, requests, proofs, etc.... We would like to have an option in the profile setting for each resource that they could place in an OOO and who is covering for a specific date range. The OOO would then delegate all tasks, issues, requests, etc... to the person outlined in the OOO. The resource delegated would be able to finish items on behalf of the person out. When the person would return they would turn the OOO off and everything would revert back to the true owner.

I like the idea and would suggest taking it a step further to allow the user to delegate specific types of responsibilities, i.e. approvals to one person, tasks to another, requests to another as the users role may span work items that can't always be covered by one other person.

I agree, an easy button to delegate everything, not just proofs and approvals, would be useful, as well as suggested by Teale, that the delegation could be divided by responsibility. If that is not possible to do both, at least OOO delegated to one person at a minimum

Yes, this would be such a useful feature to add, especially to effectively manage work and timelines around end of the year activities on projects.

This would be SOOOO helpful. The number 1 question/complaint we receive is around OOO and how manual it is to re-assign tasks/projects/requests.

Hopefully I'm stating the obvious. It would also need to give the delegated user equal access rights to the related objects including to any proofs (especially open proofs).

Our 'workaround' for OOO is editing the users surname in their profile to e.g 'smith - OOO until xx.xx.xx'. This alerts anyone tagging them that they are unavailable. However this doesn't work for proofs, and has to be done manually.

Project Manager here. I'm late to the party, but it would be great if a Project Owner/Project Manager, could delegate their projects to other Project Owners/Projects Managers, while they are out. And for those delegated projects to function as if they're owned by the delegated PM for the duration of the owners OOO.


Also, it would be great for Delegated projects to include a tag in all Project/Task/Issue Assigned To Fields, showing that the displayed user name is the Delegated Assignee, and not the Primary Assignee. The idea is to, at a glance, tell the difference between the items you own, and the items you're just covering. If that makes any sense.

Just a week after the 22.3 release and our users are happy to see the new options for work delegation. However, they're still asking for some way to notify or call attention to users being out-of-office. As others have said, this is most critical in directed updates.


The current workaround is far less than ideal: after wondering why you haven't received a reply in Workfront, you switch applications and find an OOO reply. It's hard to explain why this is necessary, especially when we're highlighting the benefits of integrations with MS Outlook, SharePoint and Teams.
