Lengthy process to add new users

Recently we have had to add a good number of new users and I have found this can be a tiresome process.  The majority of out users fit into a few users types, e.g. ‘Campaign Managers’ who have a plan licence, ‘Internal Stakeholders’ who have a review license etc.  It would be good if we could set up ‘templates’ that contained the default information for a type of user, then we simply add the users email address, first and last name to the template and all other data is added in accordance with the template.  It would also be good if a csv list of email addresses together with first name and last name could be uploaded to a template.

You can already set up user "templates" in the form of a regular user. I have found that copying an existing user and changing the name and email is a LOT easier than creating a user from scratch.

1. Create a user and fill out all the info

2. Deactivate the user

when you want to create a new user from that "template" user:

3. Select the "template" user

4. Copy the user

5. Change the name and email address

6. Activate the new user.

There is a user kickstart available. You could export the user list, then use that as a template to import new users and their information. Take a look at Kick-Starts and give it a try in your sandbox if you're not comfortable trying it in your production environment.

I'm not sure if utilize fusion but if you do you can create a scenario to update users.

 

We have a scenario to set up our users with the correct settings. They fill out our access request form within Workfront and then fusion automatically applies the correct user settings based on the fields they fill out within the form once approved. This applies their teams, role, groups, layout template, license, timesheet profile, schedule, and a few other things as well. We also mark the request complete and send an email once this is done to let them they are now able to access WF.

 

We frequently have new users that need access so this a significant timesaver for us!
