"Access rights" for report exports?

Avatar

Level 2

I'd like to set up a recurring report export/send to my team, but I'm confused by the field "deliver this report with access rights of ____" and then it defaults to my name.

I just want to make sure that if I send this to people in my organization they're not able to access the report w/ admin rights.

Thanks!

It dictates the content of the report and what people see. For example, if you have a project report that you want to share with leadership, and they don't have project access to all of the projects, if you sent them the report link without 'access rights' filled in, they would see a blank report because they don't have access to the report content. So that's why it's typical to have an admin's name in that field so the recipients you're sharing the report with can see the report's content. Thanks! So it sounds like they'd be able to view w/ my access, but not edit anything, correct? If that's the case, that will work perfectly!

Correct. UNLESS they have manage access on the specific projects or any project in your report they'd maybe want to change, they wouldn't be able to edit anything just view the contents of your report.

Be aware that if you use a wilcard in the filter, it will default to whomever's access rights you have designated and not the viewer's items.

Example:

If I set the View/Deliver this report with access rights of "Jane Doe" and I set it to filter for all projects owned by "$$USER.ID". Then any user that looks at it will see projects belonging to Jane Doe.
