@jasonbarron, in the quarterly update meeting yesterday you mentioned the new approvals feature allows for any user added as a reviewer to see reviews waiting for them. Has this function been developed yet for proof? It would be extremely beneficial to be able to run a report on this to add to their dashboard.

We are piloting it with a small group of users. It does seem to help with proof visibility, and we found that having the marketing managers (rather than designers) follow this new process is clearer for everyone.
@BrendaDa3Great question! The New Approvals feature is a standalone approvals engine and represents the future for approving all assets in Workfront. Currently, the Proofing tool has its own viewer and approvals engine.
You can use the New Approvals alongside proofs. However, we are not making enhancements to the proof approvals engine. For example, you could upload an asset, create a proof from it, and then use the New Approvals feature for that asset instead of assigning approvers through the proof interface.
By doing this, you can add reviewers to the proof via the New Approvals feature. These reviewers will see any assets awaiting review in their All Approvals widget, and the information will appear in reports. Please note that data from the New Approvals feature is only accessible through the new canvas dashboards for reporting. While this functionality is in beta, we can enable the new canvas dashboards in your environment if needed.
This is a good step BUT I've found the new documents approval to be clunky and hard to use, both for those creating proofs and those reviewing them. For example, reviewers have to actively click into the proof to review it, but then to mark that they competed their review, they have to come out of the proof and click "review complete" on a separate page. This is way too hard for those whose only work in WF is reviewing proofs.

Hi! Thank you for the follow up, let me test it and see how it goes. This requires our design team and/or marketing managers to learn a whole new process to do this, which is unfortunate. Would love to see it integrated more smoothly.

I had a lightbulb moment to have our marketing managers use this process, since they share proofs with reviewers as appropriate. We are going to pilot it with a small scope of projects then roll it out a little more fully through Q1 2026. Fingers crossed!

Hi @kautuk_sahni do you know if stages will be introduced in document approval? This has been the limiting factor for using the new document approvals.

@LanggCass Yes, multi-stage approvals will be supported and are on our roadmap. Hoping to have some of that available H1 '26. What company are you with? Would love to get some feedback from you on it and the approach.
