Notifications on proof comments

I tried to find a more recent question answer but most of what I found was pretty old, so asking again. Currently the proof owner and our project manger that kicks of task approval proofing process (on loaded proofs) are both getting a notification for every single comment made on every single proof resulting in tons of unwanted notifications. Ideally, they don't need these and would prefer not to receive them. I've tried many things but most of what I'm finding only relates to email notifications. I've gone into proofing and both are only set to "decisions" - still I feel like that is an email. How do I manage WF notifications regarding proof comments. Thanks!

Thank you for your question! I understand how too many notifications can be frustrating for your users. 

 

There isn't a perfect way to prevent native Workfront notifications from showing proof comment activity; especially for the Proof Owner. Here are a few things you can try:


Check the Proof Roles - Even though you've set it to "Decisions only," the role assigned to the user on the proof might be causing them to get comment notifications. Open the proof’s workflow and check the user’s role. If they don’t need to comment, set their role to Observer. Observers won’t get comment notifications.


Review Default Proof Notification Settings - If you’re creating proofs automatically (like through workflows or templates), the default notification settings might be pushing notifications to people by default. Head to Proof Settings > Defaults or Templates and check the default notification rules tied to roles or workflow steps.
