Exporting Project Plans for Clients

As an advertising agency, we use WorkFront for internal resourcing and project planning. For a long time we operated by adding tasks into WF for internal audiences and then building out the project plans in SmartSheet for our clients to be able to review in real-time. We have been drastically changing out WF experience and trying to combine any tools project managers may need into just WF. We are building out all project plans in WF to help generate budgets, build the production timeline and then resource each task. The next step we would like to take is replace the duplicative work we are doing in SmartSheet (building out a project plan that already exists in WF) and find the best way to share project plans in WF with our clients. We know that we can export our projects into an excel document and we are going to create a custom client view on our projects that allows us to only export the rows we want the client to see, however, I wanted to see if anyone currently does this and if so, do you have any "musts" for what the client see's and have you been able to figure out how to customize your export to look nicer than just the standard export right now? WF exports do not import easily into our SmartSheet templates so we are trying to determine how to give our clients the best experience with a project plan as possible. Mandy Johnson gyro

Hi Mandy, We have similar challenges, and while we haven't found the perfect solution, here are a few things we've built to help PMs export schedules. -Created milestones with a specific color in the Milestone Path to make Client Milestones easier to filter down to. -Calendars that only show milestones in that specific color, for an entire portfolio (or grouping of projects). -Now, we either screen grab these Calendars, or export a list of tasks (filtered down to the applicable milestones) and copy into another doc or e-mail. -Use the milestone view in a project report to show the full team all the applicable steps - this has been successful for more workflow driven clients with defined processes.
