People tab of a project to dynamically update

Description - Right now, the People tab of a project is not dynamically updated to people actually in that project. Anytime someone is added to a task or issue in the project, they are added to the People tab (or are the PO or other reasons). But then they remain in the People tab even if they are removed from the project tasks. 

Why is this feature important to you - If users are opting into emails for 'updates about projects I'm on' then they are getting these unnecessarily. This is a big issue when it comes to projects that act as the projects receiving issues/requests - those projects will never go away as long as we have the request queue feeding it, but more people are randomly added to the project and after a while they aren't needed to be there but are still getting the notifications.

How would you like the feature to work - The People tab should be a reflection of the current state of the project, and should not include users who have been removed as assignees. 

Current Behaviour - Users are added to the People tab when assigned to a task or issue, but if a user is removed as an assignee, they remain on the People tab.

This would be a HUGE, HUGE, HUGE win for us in terms of reporting ease. When we want to see "what projects someone is working on", we currently have to do this either via a task report to look for tasks to which they're assigned and then roll that up to the project level by grouping them, or via a project report that uses EXISTS to pull projects in which there's underlying tasks to which they're assigned. I am assuming this would mean that the "Project User"-related fields would be more accurate, too, as well as making the "Projects I'm On" button reflect a more accurate list? As a sysadmin, I seem to be part of the People tab for all projects using a template I've created - although, that could be my own mistake somehow. 

I will be sending this to my team members to upvote!!

@madalyn_destafney Just a heads up that I re-created this issue so that it wouldn't be archived with the new Idea revision process with Workfront Product. I merged this into your original request using the form that Jon shared in this blog, so wanted to let you know because I think this is a great idea!

When a Project Owner is changed, the old owner remains on the project team and continues to receive notifications. When task assignees are removed and replaced with another assignee, the old assignee remains on the project team and continues to get notifications.

I would like to see a "Reset Project Users" button in the People tab of Projects which would bring up a dialog with all 'inactive' project users without an assignment on any task and allow the batch removal of these inactive Project Users.

We like tracking the history of who was on the project even if they aren't anymore or aren't even at the company.  We also use the People tab to add stakeholders who don't have any tasks assigned but need to stay up to date on the project.  

If this is added, I hope it's a feature that Admins can turn on or off for what works best for them.

@chloewy Yes!! Me, too. I just wish I could also inactivate a stakeholder for multiple reasons and still see that they were historically part of the project, rather than just removing.

@nicholevargas thank you for submitting the idea and for your patience while we were getting back to you!

 

We do see the benefit in having the system dynamically remove people from the project team when they are no longer working on the project. However, we are unable to prioritize this work right now, but we will take this into account when making improvements in the area in the future.
