Checklist for Proofs

The idea is to have a pre-created checklist that can be added to the proof, that can be "checked off" as it's completed. Our team has a list of items that they are checking for within a proof, each checklist is different depending on what type of creative proof has been uploaded, and they have to keep track of the checklist separately while looking at the proof.

One potential solution, if you aren't already using this approach, leverage a document custom form that is tied to each proof that is routed. The document custom form could house the checklist of items and the responsible party could then answer each question on the document custom form. Something like "Confirm Phone Number is Accurate - Y/N (radio button). 

You mention that each proofing checklist could be a little different based on what is being routed. You could leverage display logic on the document custom form so that if X is being routed ,that is selected on the document custom form and then the appropriate checklist fields appear.

Before moving to WF, our previous system allowed us the option to have a checklist when a comment was applied. It served as a reminder to the reviewer to check for those items and if something needed to change they could put the change on the checklist. In our instance, we build a weekly circular which contains an Image, UPC, Item Description, and Price. If any of those needed to be changed they would type it next to which item needed to be revised. This was a great feature and I wish WF had the ability to do it as well.

@AllieSchilling this is a good idea but what we had before served almost like a prefilled comment that you could add to where needed. I wish I had a screenshot of it but it basically served as a reminder to check these items when reviewing but also gave some context to the info being given back. We were consistently getting piecemeal info on each round of proofs and adding this simple checklist of sorts to the process helped minimize it significantly.

This is EXACTLY what we need as well! Our process now is that proofers use an interactive PDF with check boxes for items needing to be checked. For example, if proofing a website, there will be check boxes for "check all CTA buttons" or "videos are functioning". However, there is no QC'ing this process - we don't know if the proofers are even using it, unless there were blatant errors, or worse, an annoyed client. There needs to be different proofing abilities for internal proofing (before we send to the client) vs external proofing (client feedback).

@KimberlyThomas I wonder if having an extra annotation tool would be something Adobe could create. Something like the Delete, Replace, Insert for text but have an option to use predetermined checklists created by WF Admin for governance.

Managed to snag some screenshots of what we had in our previous system. It would check the items when you filled in the spaces and then only the checked or filled in items would show on the saved annotation. This way you only had the items on the annotation with info and not a ton of blank fields . You can see Price does not show on the saved one.
