Frank, If memory serves, once the field is created it becomes a part of the field library so when you are updated your second field you can select the field you want instead of trying to create it again. Hopefully you can see it in the tiny screenshot below.

Chris, I agree with Doug, special times call for special actions. Using a project, or projects, to track this information is probably going to be the easiest way to track it now, and to be able to report on it later if needed. Regards,Andy
