Event collateral templates

Hi All, My team is still in the implementing stages, getting close to transitioning all projects from our current site (Basecamp) into WF. That being said, one group we work directly with is an event management team and our team is tasked with creating all of the pre-event and on-site assets which is anything from Save the Date emails to all of the signage, booklets, agenda printed for on-site use. Does anyone have any experience transitioning this type of work into WF? Any tips on how best to set up such complex templates for the work? Is going to be easiest just to give each asset its own task? Some of the events are 10-20 pieces of collateral and some can be around 200 pieces.Hopefully this isn't sounding too confusing so happy to share some of our existing tools that seem to work and we'd love to leverage them into WF too (excel docs of grids, schedules, etc.) Thanks in advance!

Hi Megan, in general, we have various Templates set up for the creation of collateral pieces that our Conferences & Events team may need - e.g., Email Template, Flyer Template, Conference Slider Template, PowerPoint Template, Giveaway Template, etc. as well as Templates for Banner Stands, Booth Pop-Ups, Table Cloths, etc. For us, these are considered separate projects that roll-up to a program, where the Conference Manager is the ‘program manager’. However, each project within the program may have different project owners depending on the project type. For example, the project owner for the Flyer may be different than the project owner for the Email, but all of the projects are associated to the overall Conference program. Program: ABC Conference Project A: ABC Flyer Project B: ABC Email 1 Project C: ABC Email 2 Project D: ABC Banner Stand The next step for us is to outline the ‘logistics’ process for the Conferences team, so that we can build a Workfront Template that takes into account all of the tasks needed to be done with regard to logistics (pre-event and post event actions). This is on our docket to do -- haven't got there yet. We are still somewhat new to Workfront. We launched back at the end of June last year. Anyway, I hope some of the above helps you out a bit.
