Custom Form Notification Question

I have a project template with proofreading as a task. I have created a custom form and attached it to my projects so our designers can communicate to our proofreading team and provide them the specifics on what needs to be proofread and where it’s located.

Once the designers have completed the proofreading form, is there a way to automatically notify the proofreaders that the job is ready for them?

 

Here are the only two scenarios I have come up with so far:

 

  1. The designers @ the proofreading team in the Updates section of the project, letting them know their job is ready to be reviewed
  2. I add a checkbox to the custom form that would trigger a fusion scenario to notify the team. The caveat there is that every job requires two proofreads, so I would then have to create two checkboxes, no?

 

Is there something glaring obvious that I am not thinking about here?

I get what you're doing - when we implemented we went 

  • have many tasks
  • fewer tasks with a checklist
  • back to many tasks < because it is baked into WF, and helps avoid missing a checkbox

 

In your case - if there are indeed 2 proofreading assignments, done by a different person, i would split these into separate tasks. Then the "ready for you" is done automatically by WF. 

Otherwise, yes, 2 checkboxes, and a Fusion scenario that notifies the right person/team
