Workfront Project Default Views for Tasks and Issues

Description - Would love to see the ability to assign a default view for a project's tasks and issues

Why is this feature important to you - Managing multiple views and switching between the views takes a lot of time.  When collaborating, the users need to be on the same view.

How would you like the feature to work - When creating a project new or from a template, the creator can assign a default view.  Other users inherit that view or can change to their own.  But at least it would be a starting point for collaboration.

Current Behaviour - Users have to select views.

Admins and Portfolio Managers need to see All of the projects (not just theirs) and they often (almost always) need to see the complete list of projects (not just the first 100).

Provide default overrides so these users don't have to click the buttons every time to get the view of all projects. This both annoying and a waste of time (no value added). This was implemented as an engineering default to limit the record set returned by the server to optimize performance. We're not talking about millions of records from a large scale repository. We're talking about a few hundred (maybe a thousand) records at most. Time to fix this UI constraint.

Yes, this row limitation is very frustrating. Even in the Admin it pages the list of custom form fields. There is only one system admin and I always have to click it every time.

I would like the ability to set a specific view and grouping as default on a project so that anyone who opens the project will see the preferred layout first. Then if they choose to manually change it, they can.


Right now it seems that views/filters/groupings are all applied per user based on whatever that users's last session was set to.

To provide status to non-Workfront savvy folks, and to help sell more seats, we need a way to show people where the Project status is at, by "Sharing" a project with them. When they arrive, and are new to Workfront, they see one of the default views, and it's far from ideal.


Not sure why we're able to set a default view on some objects in a layout template, but not a project. So far I've linked a few potential Workfront users to my project, but when they arrive to a weird "spreadsheet" with column values that are not in context, it ruins the entire experience for both the Planner , and potential user.

Description - I'd like to associate task Views with a project template so when a new project is created from that template, the users view defaults to the view selected for that project. That way, when jumping from project to project, I don't have to constantly change my view to see the columns I need, relevant to each project. 

 

Why is this feature important to you - We have several different ways for laying out projects and about 4 different "standard" views we use depending on which project we're looking at. This would save time and frustration for new Workfront users that keep losing the column they need when they jump between projects. 

 

How would you like the feature to work - I'd like there to be a section in Project Details that you could enter a default View for that project

 

Current Behaviour - Currently, I have to manually change the view when I go to a new project

I want this too but not for project templates but more for specific projects. We have grown our number of views that are relevant for specific projects and we are constantly reminding people to update their view in certain projects in order to put in correct task info (have custom form info brought into specific views). Really want to be able to set default views for projects that overrides the default set in layout templates if there is one specified.

  • Description - Making it so that users have to switch project task tab views less often.
  • Why is this feature important to you - Simplifying the UI and reducing touches/clicks improves the user experience.
  • How would you like the feature to work - I would like there to be a way for a user to select a project-specific default view for each project page's task tab that would not affect any other user's settings (much like users can re-order the left sidebar tabs on the various object pages). I would also like users to be able to select an overall default view that is used for all project page task tabs that do not have a project-specific setting (which would override the overall default view). This change could also be applied to portfolio-program, portfolio-project and program-project tabs, but the project-task change would be the most helpful.
  • Current Behavior - I have created custom views to be used only with specific projects, like our yearly subscription renewal project. These views, of course, have information not needed for other projects. When I visit those specific projects, I have to manually change the view to the specialized custom view. Then when I open a different project, the new page view defaults to the last one I selected, which would be the specialized custom view that has to be changed to my overall default view. To take it a step further, if I leave open the browser tab with the specialized custom view project and revisit it later, a page refresh will change the view to the overall default view, necessitating another view switch.

This would be immensely helpful in reducing clicks and creating a more user friendly interface. LOVE this idea!

It would be great if we could set up a default project task list view at the Layout level.  We have a large number of users and want them to have the same default view without having to request each and every one select it from the Views list.

I absolutely support this proposal!
It is more than necessary.
We have created very specific views for different departments, most of which only work properly with the appropriate grouping. For colleagues who work across departments, this means at least two additional clicks every time they switch between department-specific topics.

Hi @lgaertner and @kelly_starzent,

 

I invite you to consider these Switchback Workflow concepts to build fit-for-purpose custom reports tailored for use with the right view, filter, and groupings (collapsed by default), then either:

 

  • place them in The Right Order on a single dashboard (as per the original concept), share the dashboard (ideally via Layout Templates) with users, and teach them how to scroll down to their stuff, or
  • place each of them on a separate dashboard (upgrading the original concept), sharig each dashboard as custom tabs (ideally via Layout Templates) with users, and teach them how to click to their stuff (with one click)
