You can set up a filter (for unassigned you'll need to click on the carat next to the words and then the filter icon should appear. For assigned work it the filter icon is to the right of the words. You can set up a filter for project status not equal to dead or on hold to filter those out.

You can use fusion to fill in that information from the data on the custom form. If it's just one portfolio/project sponsor, you could create a template for it.
It doesn't fix the problem that there are a lot of them but we share the proof with our Workfront Admin profile and use that to cancel the proof.
