Is it possible to utilize mirror links for archiving purposes for real time emails?

Hi,

I am wondering if it is possible to use the mirror links as part of an archiving process for emails sent via Message Center. And how supported a feature will mirror links be in Campaign v7 and v8?

A separate process would look through an export of the mirror URL's to convert to PDF and store externally.

We have BCC in place currently but not a suitable solution for volume and the type of account we have.

Thanks,

Wayne

Hi @waynea40432451

Email archive capability in ACC is realised via BCC (https://experienceleague.adobe.com/en/docs/campaign-classic/using/installing-campaign-classic/additi...)

There is a catch on that feature, it requires to be purchased as add-on and you should contact your Adobe account team for further details...

Using Mirror link would in theory works however,

  1. Mirror link as you know expires after 60 days (configurable on the delivery / delivery template)
  2. So you would have to invoke programmatically the mirror link, get the whole HTM and store the whole HTML on your side
    1. Doing the above is technically possible but it will put too much pressure on the infrastructure and you will face performance issues of some sort...

Recommendation will be to go with the BCC approach. it should also work for transactional emails, something to check with your account team.

Hope this helps

Hi Denis,

Thanks for the response.

We have BCC currently set up but intermittently fails as there is too much volume hitting the inbox, and all of these emails in particular need to be stored for legal purposes. Currently as I understand it is because the inbox we are using is O365 and has limits in place, which has since been added to the documentation since we implemented.

Performance is definitely a good thing to flag too thanks.

Was hoping there would be a way to use part of the system we have in place where an external process converts to PDF already.

Do you have any recommendations for a suitable inbox provider for the BCC method at all please?

Thanks,

Wayne

Hi @waynea40432451 ,

I recently suggested an alternative solution for BCC archiving using Mirror Page URLs. You can refer to it here:  https://experienceleaguecommunities.adobe.com/t5/adobe-campaign-classic-questions/how-to-get-the-dat...

Some key points for your situation:

How GetMirrorURL Can Be Applied

  • By utilizing the GetMirrorURL function, you can access the exact content of emails that recipients received via their mirror URLs. This approach is particularly beneficial when BCC Archiving becomes inefficient or is hindered by volume constraints. The function allows for the extraction of HTML content from these URLs, which can then be stored in a CSV file. This file can be transferred to an external storage location, such as an SFTP server or a data warehouse, ensuring that the content is archived efficiently and can be accessed later for legal purposes.
  • This method can potentially alleviate the performance issues associated with BCC Archiving, especially if the BCC inbox is overwhelmed by high volumes. By directly accessing and storing content via mirror URLs, you might find a more scalable and reliable solution.

Considerations

  • While this method could offer a more streamlined approach compared to BCC Archiving, it’s essential to monitor the performance, particularly when handling large volumes of emails.
  • Remember that mirror URLs might not be available indefinitely, so consider setting up a process that archives the content shortly after the delivery.

Conclusion

  • This method could be a valuable alternative to your current BCC Archiving solution, particularly for high-volume scenarios where performance is a concern. However, ensure that the temporary nature of mirror URLs aligns with your long-term archiving needs. If so, it could be integrated as a parallel or fallback process alongside BCC Archiving to ensure that all emails are securely archived for legal purposes.

Hi @MeitMedia ,

This seem like a great alternative to BCC and some key points in the above. Thank you for the detailed response, we'll take a look into this.

Hi @MeitMedia,

Would you be able to share any more of the code/steps required to get this into an exportable format please, ideally csv?

Thanks,

Wayne
