Updating proof artwork for a sick person

Currently someone is sick and i am having trouble transferring permissions of their work to myself for the day. I have had the project managers assign myself in the project actions / share section of the task, even in the proof itself, but the furthest i can get is to see the edits made to a proof and upload a new proof in my name, separate from the proof chain the sick person started. (says i don't have permission). That works for now, but i would really like to use the "more / new version / proof" option in documents to keep all our edits in one consolidate pdf chain. Any ideas? You have to be made the author of the proof so you can load on top of the other proof that the sick person loaded. And you have to be given management over that proof. Highlight the proof (blue box around it) click the drop down for share and add you and give management. Most of the time the system admin is the only one that can do this. In the proof details, (in the same blue box highlighted area) add the new person (you) and make them the author under the role column. If you have Workfront Proof you can go into the proofing details and make yourself owner, once you're owner you should be able to upload on top. If not, the system administrator will need to adjust your Proof Permission Profile in your user account with "Supervisor" or above. Richard Carlson Behr Process Corporation

I'm late to the party here, but we just encountered this as well, and I think I might be of some help :) There are two requirements to achieve what you're looking for. The first, is that the user who is attempting to upload the new version should also have Contribute access to the project. This can be done in the Sharing menu of the project, by clicking on "View" next to the user's name, and changing it to "Contribute", if they aren't already. (I believe this will also work at the document level, but won't allow for automating the permissions in the way I will detail below). The second requirement is that the user have a proofing license that is higher than "Manager", which can be addressed in ProofHQ's setup menu as Richard mentioned. For us, the sticking point has always been the first requirement, as the second one is easily taken care of when creating a new user account. This past week, however, we finally took measures to automate the access upgrade for users who are covering other users by editing our Task behavior. In the Setup > Project Preferences > Tasks & Issues menu, you can set up your Access such that when someone is assigned a task, they automatically receive Contribute access to the project. This sounds really scary in terms of giving standard users too much power, but you can configure it to be fairly harmless by clicking on the Contribute dropdown and unchecking any features you would rather not give by default (I've attached an example screenshot here, hopefully it loads properly!). We have all of our projects set up so that Task = Contribute and we've never had any issues, YMMV obviously. One thing to note, contribute has a lower privilege than manage , so they can't really do too much damage. Would you mind sharing your main concerns? Richard Carlson

To reiterate what Mike has mentioned, to create a new version of a proof someone else made, you have to have "supervisor" permission in ProofHQ. This can be set in a user's profile "access" section in Workfront. Annoyingly, ProofHQ permissions don't synchronize with the Workfront document permissions. IF your instance has the ProofHQ button enabled in Workfront, bear in mind proof supervisors can see all proofs when in the ProofHQ site regardless of their Workfront access.
