Project Updates Not Showing In Reports When You Are Not The Project Owner

Hi there, We are running project reports based on the Condition Update. We would like the option to have a project manager who does not own the project make updates at the project level so that we can pull only those updates in to an exec. report for each project's status. Her notes do not show up in the Condition Update. We don't want to use the last note:note text because that will pull in any note made on any task. Do I have to use a custom form? Or is there another way to somehow allow us both to make updates at the project level and have them pull through to a project report? If I use a custom form, we then lose the "history" of the timestamp that the project updates allows us to have and keep in the running notes of the project. If anyone has determined a solution or easy workaround I would appreciate any help! We are newer to Workfront so currently do not mess with text mode too much unless very clear directions are given. :-) Thanks, Lori Lori George Pacific Foods, Portland, OR Senior Marketing Operations Manager lori_george@pacificfoods.com

Hi Lori, From your description, perhaps my "https://community.workfront.com/discussions/community-home/digestviewer/viewthread?MessageKey=3c918c8b-af19-41d2-873c-cfba8f3ae37f&CommunityKey=aaafaff0-5e4e-4e38-8903-f1f990935567&tab=digestviewer#bm3c918c8b-af19-41d2-873c-cfba8f3ae37f">Targeted Auditing Proof Of Concept post would meet your needs, as it would keep a dated "running commentary" of whatever the other non-owner project manager then periodically chooses to enter. Hi Doug, I need a lot of help understanding that thread, lol. As I said, we are only a year in to implementing Workfront here. Can you walk me through where I would even start making this adjustment? And, are you saying it would pull in the other project managers note even though she doesn't own the project? Thanks again, Lori Lori George Pacific Foods, Portland, OR Senior Marketing Operations Manager lori.george@pacificfoods.com

Certainly Lori, The basic concept is to add a "https://support.workfront.com/hc/en-us/articles/216668758-Understanding-Custom-Forms">custom form "https://support.workfront.com/hc/en-us/articles/217220807-Applying-Custom-Forms-to-Objects">to your projects in which you've "https://support.workfront.com/hc/en-us/articles/216668788-Creating-Custom-Forms">defined a Target parameter in which the "other" Project Manager could easily update it using a Project "https://support.workfront.com/hc/en-us/articles/222181388-Viewing-Items-in-a-List">view you would build for that purpose. As they do so -- simply overwriting their last update with their new update -- the "https://support.workfront.com/hc/en-us/articles/216652818-Using-Calculated-Custom-Data">Calculated Target Audit Parameter I'd mentioned in my previous post then kicks in and automatically pre-pends their newest entry (along with the current date) to the previous entries. With the latter then stored in Workfront's database, you can then "https://support.workfront.com/hc/en-us/articles/217355487-Getting-Started-with-Workfront-Reporting-">build your own Workfront reports just as you would any other built in or custom parameter.
