PMs can't see "all" projects from the "all projects" view? Why?

PMs can't see "all" projects from the "all projects" view? Why? None of the projects I create are restricted from their view. So I am stumped at why they can not see "all" projects when we click on the "all" projects tab. Please help.

Solution, I clicked on all projects that as admin I could see, then shared them all with the project management team needing to see them.

Yep. Permissions issue. A person can see "All Projects" to which he or she has access. If you're creating projects from a template, you may want to adjust the Project Sharing properties on the template. If you always want people to see everything, you should probably update the access levels and click the PROJECT area settings so that when a person with that access level "creates a projects, grant ..." "EVERYONE" access to "Contribute". This will open up the projects created going forward. You can also fine tune that setting to their home team, home group, etc.

Yes, I want to make sure "certain" people have access whenever I create a project. What are the steps to adjust the Project Sharing properties on the template?

Just go to the Templates and pull up the template you want, and just like a regular project, click on "Template Actions" in the upper right corner and select "Template Sharing", and then enter the people, groups, teams that you want to share with and whatever level you want to give them.

You will probably also want to adjust the Project Sharing on the template. Template sharing provides users access to the template itself. Template Actions -> Project Sharing will control who has access to projects created using that template. There are other ways to control access as well. One would be by placing the project in a portfolio and letting the portfolio access cascade the permissions (portfolio actions -> Sharing). All projects put into the portfolio will inherit the access until / unless the specific project is changed. This is one good way to isolate work groups, and allow some to have access to multiple portfolios. The downside is if you forget to put a project in a portfolio.

Whilst you already have the solution, one other thing which frequently confuses people is if they have the 'Active' filter selected. This will exclude projects in Requested or prior statuses....

Greg- quick question- if I give everyone access to a project (because I want them to be able to view all projects).....will they also get all sorts of notifications? Or can that be tailored as well. I just got the same request from folks in my group. they want to be able to see all projects- but if they aren't assigned to them in any other way- I suspect they don't want all the notifications. It's more of a passive view. tks Karen

Just sharing a project with someone will not generate any notifications to them. Obviously if they are the owner, or assigned to issues/tasks, it will depend on what notifications you have turned on, but if just shared, they won't receive any (or at least, none that I've seen).

Hi Greg, There is actually an email notification you can switch on for when someone shares an object with you. I normally don't recommend it in my company because people would get overloaded by the volume of stuff shared with them each day. Thanks for the clarification David. Yes, we definitely turn off those notifications because that would cause way too many unnecessary emails.
