Identification of Forms

We have a form where two fields - Depot and Date - have to be selected. When the form is sent the depot name and date are recorded in an Instructions field so when you look at folders the Instructions column entry identifies the form. However, when moved to Archive folder the Instructions column is no longer viewable. There is a Description column which would seem to be a better field to use. Why can this not be used?
