How to hide recipient folder from list of selectable folders in query

Hi everyone,

I have one main folder called "recipeint" where all records are kept and stored.

I have create 2 sub folders from there to create 2 different views that can be used in the workflow to fetch data using query and I am able to do this.

However, I want to hide the main folder from that list of selectable folder. I have checked off the checkbox - "Hide this folder from the lists" under property of that folder. But even after that, I can see that folder while I am selecting folder view under query in the workflow creation step.

Can anyone please tell me whether I am doing correct thing or did I understand this checkbox incorrectly?

Thanks,

Vinay

Hi Vinay

Please verify all the below steps at your end :

Set Folder Permissions: Ensure that the folder has restricted permissions. Specifically, remove or deny read access for operators who should not see the folder. This can be done by:

    • Right-clicking the folder and selecting Properties.
    • Navigating to the Security tab.
    • Adjusting the permissions for the relevant operators or groups, ensuring they do not have read access
Use Views for Specific Data Access: Instead of relying on hiding folders, create views that display only the specific data you want certain users to access. Views are virtual folders that can display data from other folders based on defined criteria. To create a view:
    • Right-click the folder and select Properties.
    • In the Restriction tab, check the option This folder is a view.
    • Define the filter criteria to display only the desired data.

Apply Folder-Level Access Control Lists : For more granular control, use ACLs to define which users or groups can access specific folders. This allows you to control visibility and permissions at a more detailed level.

Be aware that permissions set on parent folders can propagate to subfolders. Ensure that permissions are correctly configured at all levels to achieve the desired access control.
