Calendar - Only See Projects Not Tasks?

Avatar

Level 2
Hello all - I have created a calendar to show what two team members are working on at any given time. However, the calendar lists every single task they're working on. Is it possible to have the calendar show ONLY the projects they're working on (so each project only appears once in the calendar) not have the calendar show every task for every project? Thank you!

Hello! When you go to add a new item to the calendar, and you click on "Advanced Options" underneath the field that pops up, it will take you to the pop up screen for more details. There you can just click on "Projects" rather than "Tasks" and then use the drop down box to select how you want to choose which projects to show "aka Project Name" or "Project Owner." You can also select "On the Calendar, Show" and select "End Date" or "Start Date" so it only shows up once. Or you can have it show up for the duration of the project. That's at least how I do it, I don't know if that's what you've been trying and are still not getting the view you want. If it is, I apologize! Sarah Stonestreet Consumers Energy

Sarah's answer for getting projects on a calendar is correct. However, I do have one warning for you... if you are going to be doing it for project team member and not a field like Project Owner, please note that the info is coming from the Staffing Tab and not the task Assignments. This has caused problems in reporting and calendars for us. Example: I was on Project A and that was copied to create Project B but they don't need me for that project. If the project owner just removes me from the task, the project will still show up as a project I'm Working On. The project owner would need to remove me from the People area in the Staffing tab. SIDE NOTE: Have you looked at the Beta for the Workload Balancer? Still has some work that is needed on it, but I've shown it to a few department leads and resource managers and they love it, especially when you use the Group By Project feature. Anthony Imgrund FCB
