Access to Create Reports and Dashboards

Hello,

I am a new WF System Admin and I have a manager that wants some WF users to create Reports and Dashboards. I know that they should not be System Admins and I am even doubtful that they should be Planners. I am looking for advice from more experienced users. 

Should I create a new access level and tie it to a new Layout template?

I am also concerned about giving them access to create/modify custom forms.

We limit report creation to admins. In the beginning, users were creating reports where they were viewing different data than they thought. Simple mistakes like using assignedTo instead of assignments were showing them data that caused them to miss deadlines and miss tasks and projects entirely. This is but one example of many. Accurate report creation requires some knowledge of the API and the fields and what they are for. Not knowing that will result in inefficient and innaccurate reporting.

We also had about 100 reports called "My Stuff" or some variation of that. As well as hundreds of reports that should have just been filters, views or groupings.

IMO, allowing the average user to create reports is a disaster waiting to happen. And don't get me started on Forms! 🤣

Hi @bradyty! I think for this use case, the Planner access level would be your best bet. Group Admin is a bit too high if you want to keep the permissions paired down, but the Worker access level would not allow for the user to create reports. I agree with your point that creating and modifying custom forms can be a slippery slope as there is the possibilities they change shared fields, modify historic/current data incorrectly, etc. - but you could take away the Admin Access for that on a modified Planner level.

Hi there, note there is a difference between license and access level. You can create an access level associated with a Planner license that allows or doesn't allow people to create/delete reports/dashboards and manage or view custom forms. I recommend creating a specific access level with Planner license for these folks.
You can create access levels from Setup. It's not something associate with their layout template, the access level is something you'd select in an individual's profile.
