Yes. This. For example, I make a folder containing all of our current television commercials that were created in Advertising, I would like to be able to share that folder with my media buyer to provide to our advertising platforms.
I've been trying to figure out how to share a Smart Folder with all users - can't believe we cannot do that yet. We'd like to keep our process docs and training docs there. Please add this!
Smart Folders are not treated like other objects in WF. They are more like filters for that specific object type (Documents) for individual users, and don't currently have the ability to share the settings of a Smart Folder between users, Teams or Groups. This builds on the idea at the top of this thread. Views, Filters, Views are all logical slices of data objects. All should be born of the same search & filtering model where users can build and save these for future use. Further, there is a need to define a preferred / primary data slice for specific data extracts (result sets) so admins can provide a consistent User Experience for the (mostly) internal communities (function areas & teams).
Yes, I submitted a ticket regarding this and was told to submit the Idea.
If I could share an entire folder and its contents, that would make sharing documents easier, because I could just share a folder and its contents instead of having to share documents individually. A user should find the shared folder at its source, be it within an object (project, task or issue) or in the system root (Documents tab in the Global Navigation area).
Let's say I have uploaded a series or user manuals in the Documents tab (global nav). I have made these documents public, because I want for all users in the system to be able to view and download the documents. However, I can only do this if I share the link or URL to the document; then, they have to paste it in the browser search bar and press Enter. I would like to be able to tell them "Go to Documents, then [Folder name] and you can check out or download the document there", like general instructions to the public, instead of having to share the URL to someone everytime they need to see the document(s).
One point of frustration is trying to figure out how the architecture works rather than enabling the architecture to adapt to our needs. The association between security (ACLs) and objects appears to be inconsistently applied. If we create views or reports (presumably sharing similar slicing and filtering capabilities) then we should be able to share objects of any kind regardless of type.
Yes, the ability to share a folder with training materials and job aids with our user community would be tremendously helpful and keep users in Workfront when they are trying to problem solve vs. sending them to another shared location. I have been trying to figure out how to do this for a while!
