Hey Workfronters!  As promised, here is the combined list of Q&A (from both the pod and the chat). Hopefully we'll see you at the next event!

  • Do we have an option to upload documents and proofs within records? 
    • Not currently, but it's on our roadmap. For now, we recommend using AEM Assets connections to link documents and images. 
  • Are these custom form fields visible in WF reports as columns? 
    • Currently the Planning Connection fields are not available through Workfront reports, but you can report on the data together using the Canvas Dashboard 
  • Can reports/calendars/dashboards pull data defined/entered in Planning fields and WF Core fields? For example: An entry in Planning (e.g., Audience) and an entry in Core (e.g., Assigned Designer) being pulled into a single report that shows data from both Planning and Core? 
    • You can do that through the Canvas Dashboard. 
  • Can we connect Audience sets from AJO to WF Planning? 
    • Currently, not at this point. 
  • For "Add record type" I see "Add manually" and "Upload from file". I do not yet see that third option with the globe icon. When will that be released? 
    • This has not been released yet, but is coming soon! 
  • Does Planning allow for open text fields? For example, for a specific piece of content, I may need to know the associated contract opportunity. But the contract opportunities are too large in number relative to those we directly support. Thus, it would be near impossible to maintain a defined set pick-list in WF. How do I capture this relevant data? 
    • You can have text and paragraph fields in your records. 
  • Is there a way to see a report of projects in Workfront that have or have not been connected to Workfront Planning?  
    • You could use this custom form functionality that was shared in the demo in a report (in your report filter, categories ID not equal your planning-related custom form). 
  • Can we assign roles/teams as approvers? and can we create routing rules? 
    • We have that on the roadmap for future releases. 
  • Is there a way to do a mass upload of requests - vs having to upload one request at a time. Eg. A templated form that can be filled out and then uploaded to WFP? 
  • Is there a way to move record metadata into Project metadata (in Project fields or custom forms). For example, the record is using the Portfolio and Program con...see more 
    • If I understand the need correctly, you want to be able to move values from Planning record to the Workfront project created through automations. if that's the case, at this point you cannot copy over the data to the generated projects. We have that capability only when the automation is creating another Planning record. 
  • When you create a project in Planning vs Converted from request in Workflow, does it say anywhere how the project was created? I wonder how it will show up in the report for example projects created in planning vs from intake forms. 
    • No, we don't have such an indicator at the moment. 
  • Does the AEM assets connection support PDFs? If Yes, how does that show up on the thumbnail? 
    • Yes, it's possible to link PDFs uploaded to AEM Assets. it will show the first page thumbnail of the pdf file. 
  • Is there a way to show multiple records in one timeline that may or may not be related to each other? For example, we have Disclosures, Events, and Campaigns. They may or may not be related to one another, but they are strategic activities that we need to pull into one timeline. Do I have to include these all in the same record? 
    • Currently Planning views only allow displaying records of the same record type, but you can have breakdown timeline views that allow displaying connected records as a second layer. For example, you could create a timeline view in Campaigns record type, add a breakdown for Experiences, and after that you can expand each campaign and view its connected experiences on the timeline. 
  • Can we use a Planning Record Type as custom field (typeahead or drop-down) in Workflow Workfront, so that the Planning records act as the option list? 
    • Yes, we have a new custom field type called "Planning connections" in Workfront custom forms, where you can add the Planning record types as fields and through that see or update the connected Planning records on individual projects. 
  • What's the cost to activate Planning? Is it cost per license or per Enterprise agreement? 
    • Please contact your Workfront account rep for licensing details. 
  • Can reports/calendars/dashboards be created with data from across multiple workspaces? What is required to enable this (e.g., shared or connected objects)? 
    • This is a new capability that will be available soon in Preview/Production. Through this you can add and contribute records to a record type from multiple workspaces. As a result, you can create cross-team record views.

  • Could 'OKRs' also be used to identify potential risks - not just goals or would a different object do that better? 
    • You could have a separate record type for Risks, as those will have different attributes and meaning compared to the OKRs. You can then create a connection between OKRs and Risks to identify which risks affect which OKRs. 
  • I want my users to be able to view everything in the Workplace, but I don’t want them to create projects in Workfront using automations. Only a few selected users should have permission to run automations. 
    • If the person doesn't have access to create projects in Workfront Workflow, they cannot create projects through the Planning automations, too. 
  • Does "outside of the organization" refer to non-Planning license holders? Non-Adobe Workfront license holders? Colleagues? Anyone with internet access? 
    • Public request forms are available to anyone with the link. We don't require authorization in this case. 
  • Can we directly import the existing Campaigns in Workfront as record types in Workfront planning ? 
    • You can export your Campaigns list with all the important fields and import it as a new record type. 
  • Can you share Filters, Sorts & Grouping with other users ? 
    • You can share the whole view with others that includes the columns, filters, groupings, sorting and any other setting of the view. 
  • Do we have an option to upload documents and proofs within records? 
    • Not yet, but it's on the roadmap. For now we recommend referencing assets through AEM Assets connection. 
  • When you created the intake form, did it automatically populate the fields with the required taxonomy for the user to choose from? 
    • All the fields available on the record type are automatically added to the intake form, and then you can decide if you want to remove any of the fields and adjust the form layout.
