Workfront points system

Hi everyone, 

 

We’re working on creating sort of a points system within workfront to help manage capacity. We have designers input their planned hours and actual hours, but it’s hard to get everyone onboard which skews our workload balancer/tasks dashboard. I’m wondering if anyone else has created a system or workflow to help with capacity management? What we essentially would like to do is for each of our groups within workfront to get a set number of hours or points so when it reaches a certain number, they can’t request anymore projects for that month. Any suggestion or how we could implement this?? Any help would be great!

    It sounds like a chunk of your issue is behavioral, yes? There are only so many things a system can do. Ultimately, with something like this that demands cultural adoption of a repetitive task, I recommend a couple things:

    • A dedicate resource to nag people.
    • Schedule not infrequent meetings (one-on-ones or very brief stand-ups) to capture the data.

    Eventually people will realize that, if they are proactive, they might be relieved of nagging and meetings.

    Technology-wise, I would consider using the auto-send function on a report. You could push the report weekly or daily to users and say, “Please update your points or we will assign aaaaaaallllll the work to you.”

     

    On the fip side, you also need someone monitoring for when assignments go over the points. You can build reports with conditional formatting that flag an overallocation. Workload Balancer does this for you if you’re relying on Work Time, but Work Time is intended for more long-term use rather than daily or weekly.

    The problem is that we don’t want the clients to own any process with updating points, etc. Our team would handle that. I guess the best thing would be to create a section within our forms to capture that information and then run a report that way, so it automatically updates each week. The conditional formatting will also help too so thanks for that!
