Workfront Kanban — Unable to Manually Move Cards + Cards Disappearing from Board

We’ve set up a Kanban board in Workfront that pulls in specific projects and tasks associated to a team. We’re running into two major issues during testing:

  1. Cards cannot be manually moved across columns/stages on the Kanban board as expected. Some cards can be moved manually though! 
  2. Cards occasionally disappear entirely from the board (and become unsearchable), particularly after changing settings related to task completion behavior.

More context:

  • While testing, switching between manual vs. automatic task completion appeared to cause tasks to move off the board.
  • In some cases, a page refresh or re‑indenting tasks caused the cards to reappear, but not consistently.
  • Completing or moving certain tasks seems to trigger removal from the board, even when they should still qualify based on the board’s filters/settings.

Questions:

  • How can cards be manually moved between the Kanban columns in Workfront?
  • How does task completion status (manual vs. automatic) impact card visibility on the Kanban board?
  • Are there known settings, dependencies, or limitations that would cause tasks to disappear from the board or become unsearchable?
  • Any best practices to prevent cards from unintentionally falling off the board during configuration?

Hello! There are a lot of board settings, and depending on how they are set up they can cause some unexpected issues. These articles describe some of the settings that might be affecting your cards.

 

Cards auto-moving to columns or not sticking when they are manually moved is often caused by column policies. With policies the status is linked to the column, so task status can change automatically (when the card is moved to a specific columns) or the cards can get auto-moved to columns matching their status.

Card falloff / auto-archive is set by the number of days or weeks a card is on the board, so in theory the task completion shouldn't affect that. (Unless tasks are always completed in the same number of days, and/or the completed tasks are in a column that is configured for falloff?)

Before diving into troubleshooting - can you clarify if you are using the modern ‘Boards’ feature that allows ad-hoc column creation/naming and can intake work-items from all across Workfront? Or are you using the Kanban Board feature that’s linked directly to a Team in Workfront, by setting the Team as an Agile team, enabling the backlog features etc?

 

The troubleshooting/answers to your questions are wildly different depending on if you’re using the legacy Jira-esque features or the more recent flexible Board product.
