Receiving Assets from Vendor Partners without Vendors having Workfront Access

We are exploring ways on how we can receive files from vendors without having them in Workfront as a user. 

 

Our use case is that we need to be able to receive upload files for projects but we do not want to have our vendor in the system as a user for security purposes. We are thinking of using the Sharepoint Integration and have the vendor upload through there and then connect to the projects as one possible solution but there have been issues with using SharePoint in the past with vendors.

 

We are exploring Planning and are wondering if there could be a way to intake assets through a public form and then have an automation direct documents to the appropriate projects. Essentially using this form like a portal for vendors. Curious if anyone has done this before?

 

Also, open to any ideas and recommendations for other solutions on how others are working to receive assets from vendors without giving Workfront access.

Do you have fusion? Could you have a dropbox connection?  For one of our request paths we do an email intake but have found limitations parsing the HTML from the email messages if there are special characters used.  You would also be limited for attachments if they’re large file sizes.

Thank you for the idea. We are tied to using SharePoint or OneDrive currently.

Hey Kiersten!
Could you set up a request queue with an email address to receive requests? have them submit email to the weird address with the doc attached, and that would pop it into a request queue project. you could triage and move that request into the correct project. 
Fusion might be able to help out in automation long term, but perhaps it could be a starting place.
We have experienced similar a issues and our SP is locked down to everyone outside the org. Let me know if it works!

I would recommend to go with external providers such as Google Drive, SharePoint, Dropbox, Box, etc. and then link that to a project - that way, you are not limited with file size or type. What kind of issues did you have with SharePoint in the past?

We had issues in the past with vendors not being able to access SharePoint externally.

Anything specific? Access or something technical? Would love to try to help - we integrated this approach for a client and for them it’s working good so far. 😅
