Prevent Time Logging on Personal Tasks

Description - Allow Admins to turn off the ability to track time on personal tasks - OR - allow admins to create a custom form with required fields that would be auto-attached to all personal tasks.

 

Why is this feature important to you - With our business model, we cross-charge the cost of actual hours from tasks back to our business partners. Since personal tasks do not sit within a project (which, for us, has a form containing the cross-charge information), we do not know where to bill that time. If we could prevent users from tracking time to those tasks, they would be forced to place their time in the appropriate bucket.

 

How would you like the feature to work - Ideally, logging time on personal tasks would be an option within setup - which could be unlocked for group admins to turn on or off within their group

 

Current Behaviour - users can track time to a task that does not sit within a project, therefore doesn't have the appropriate billing or cross-charge directive attached

    Coming back to say this needs to apply to To-Dos on the new Home widget as well.

    I agree with Heather. We do not want people logging time to personal tasks. These should only be on the home widget and not show in people's timesheets.

    Personal tasks no longer display on timesheets by default per the September 11th Product update. They are only displayed on the timesheets when they are pinned or if they have hours logged.

    @heather_kulbacki have you figured out a way to report on time logged on the personal tasks/to-dos in New Home? This just came up for us on the team today and we want to prevent this too, but wondering how much time we even have on those but can't figure out how to report on it.

    @madalyn_destafney I have not, but I just had a quick play in sandbox and created a new personal task for myself. It put that task in a project where description = My personal project

    Of course, there's no way to prevent anyone from changing the description on the project that their personal tasks are created in. But pulling hours from projects with that description might give you a directionally accurate amount of time billed to those tasks.

    Hi @heather_kulbacki I had actually already tried an hour report with a filter of project name contains 'personal' but that didn't bring back valid results (included legit projects with the word 'personal') so wasn't sure if that works or if we just happen to have no logged time against those personal tasks. Really with we could nix the to-dos widget entirely in the new Home layout templates/prevent users from adding it in.

    The project that my personal task was created in didn't have 'personal' in the name, only in the project description.

     

    I specifically searched for projects where the Project Description contains 'My personal project' - figuring even if other project descriptions contained those words, it would be unlikely they'd be in that order, matching the projects auto-created for personal tasks.
