[Event Recap] Ohio WUG June 2026 Monthly Roundtable (6/1/2026)
Happy Monday, everyone! 👋 We kicked off our new monthly roundtable format today with a great turnout, 18 attendees and 59 chapter members and counting. We had folks join from across Ohio and well beyond, including Pennsylvania, Colorado, Massachusetts, and even Canada, spanning system admins, Fusion developers, solution architects, team leads, and end users. We also celebrated a first-time Summit speaker from our own chapter.
We tried something new this month: we asked everyone for a burning question, a frustration, or a win when they registered, then talked through them as a group. Here are the main topics we covered, in case they help you or come up in your own instance:
- Preserving historical display logic on intake forms. When you turn off display logic on a request form, the historical summary it generated on older projects can disappear. The fix discussed: move the affected fields into a hidden or admin-only section, and keep the field sequence intact (the field carrying the "display this if" rule has to stay positioned relative to the field it references, or the logic deletes itself). Calculated fields were also suggested to lock in a permanent record.
- Connecting Workfront to ServiceNow without Fusion. Several routes for getting intake from ServiceNow into Workfront when you do not have Fusion: a Power Automate / Power Apps flow that pulls the assignment email and drops it into a Workfront queue, the built-in queue email address (found at the bottom of the Queue Details page) so a ServiceNow ticket can auto-create a Workfront request, and a direct API call if your IT team can build one. Fusion is what adds the parsing layer that splits the description into mapped fields.
- Driving template adoption and reporting when projects get abandoned. For teams that spin up a project just to generate a job number (via a Fusion-to-accounting integration) and then skip the tasks: ideas included securing executive sponsorship, recruiting Workfront ambassadors and champions (your loudest complainers often make the best ones), using Fusion to auto-close stale projects, building custom dashboards, and streamlining or auto-completing template tasks so reporting still holds up.
- Identifying who completed a task with multiple assignees. How to tell which assignee actually marked a task complete: turn on task status and assignment events in the update feed (under Setup), run a journal entry report, and check the Last Updated By field before building heavier custom reporting.
- Workfront's native AI Collaborator vs. external GenAI agents. 🤖 Early impressions: the built-in AI is strong for documentation and system configuration questions but struggles with data questions like "how many projects closed in 2025." Some users are connecting external GenAI agents to the Workfront API for natural-language data queries. A possible future demo was floated.
