Capture Moving Dates

Hi!

Currently trying to work through a reporting question and have been researching and believe baselines might be my best option but having a hard time trying to figure out how to get to my answer.

End goal: be able to identify the #, % and type of projects that have date changes to be able to track and better plan for

Current understanding:

  • Baselines capture dates (and more) in a certain time (either automatically or manually)
  • Automatic Baselines are captured whenever status is turned to “Current”
  • To capture routine automatic baselines would require Fusion

Issue: 

  • Currently, PMs will just change dates (without changing the status) and believe they won’t love the idea of asking them to remember to add a new baseline every time they do

Question:

  • Is there a way to make a project un-editable in certain statuses? For example, if a status is current, could it be locked so our PMs have to change the status to “planning” or something else in order to edit the dates therefore a new baseline is captured once the status turns back to current?
  • Is there another way for us to more accurately track and report on dates moving?

 

Overall, I want to avoid asking our PMs to remember to do an additional step if possible. Let me know thoughts - thank you!

Without Fusion, you’re limited to human behavior. For the exact reason you cited (not wanting to ask PMs to do more), I haven’t used baselines. It’s possible you can get some of the data you need through building your own calculated fields, but I haven’t done it.

We do not use Workfront for any marketing activities, we use it to drive schedules.   This topic is critical for our success.    We have built strong methodology for us to measure Baseline vs. Project to find schedule creep and adjustments.   This is also done in conjunction with Milestone dates.   We do not use Fusion to do any of this, but a custom form with many calculated fields behind the scenes.   We are also very regimented on when a baseline can be updated.

We also have an add-on from AtAppStore that gives us a visual representation on what is happening as well.   There are many selections we can make to look at the project timing to be able to triage the schedule or to start asking the “right” questions about the schedule change.

The one tip I will give you to help with any custom fields that took some time to uncover, to get the baseline date you need to use {defaultBaselineTask}:{plannedCompletionDate} or {actualCompletionDate} depends what you are measuring.   But the key to unlocking the Baseline Date is the {defaultBaselineTask}
