How to Break up Email Sends Over Time

You want to send out an email to a group of people and break it up so that it sends in smaller batches over time.

 

 


Solution


To break up an email send over time, you can use a Smart Campaign with Choices and Wait steps in the flow.  Example provided below.
  1. Choose the criteria you want to use to break up the send.  In the example, we use the first letter of the last name.
  2. Use a Send Email flow step with a Choice defining your first group (Last Name starts with A-F) and select the email you want to send.
  3. For the rest of the leads, use a Default choice of "Do nothing."
  4. Add a Wait step.
  5. Repeat 1-3 for the each group, separating them with Wait steps.

This is interesting, can you elaborate on your reasoning for breaking up an email send into smaller batches?

I break down my lists using last name as well. I do that because some companies quarantine emails when they know we are sending an email to multiple employees at the same time.

Is there a way to say if your target list includes more than 10 receipts who share the same email domain, break them to a different list/send?

Some companies will reject emails if they receive too many of them from one source at the same time.  The large consumer ISPs such as Yahoo or AOL may throttle large email sends if their servers are busy.  Breaking a large send into smaller pieces can help avoid these deliverability issues.

Marketo doesn't have a feature that would have the logic you are describing.  You would need to check your lists and break them up as needed.

We need to do this too, very surprisingly we've found Marketo can't send more than 300,000 emails at one time (we need to do this monthly for our newsletters) or our trigger campaigns all have errors and we have to manually send the emails! Very frustrating!
