Unable to find “Registered Error” Members in Smart List for Webinar Program

Hi everyone,

I’m encountering an issue related to “Registered Error” statuses in a Marketo webinar program.

For one of our webinars, we see about 60 members with the status Registered Error in the Program Members tab. Most of these records were originally marked as Registered but later moved to Registered Error after Salesforce created duplicate records and merged them. The total number of registrants coming from Marketo aligns correctly with Adobe Connect data.

However, when I try to pull these same members using a Smart List with the filter Member of Program → Status: Registered Error, only a small portion of those records appear. Many of the individuals shown in the Program Members tab are missing from the Smart List results.

We need to locate these members to update their status to No Show, since they did not attend the webinar.

Has anyone experienced this behavior before, and were you able to find a solution or workaround?

Hi Mohammed,

This behavior usually happens because of how record merges and program membership are handled in Marketo.

When Salesforce merges duplicate records, Marketo keeps only the surviving lead record. The program membership from the losing record does not always behave the way we expect in Smart Lists.

Here’s what is likely happening:

• The Program Members tab can still display historical membership records.
• However, the Smart List filter (Member of Program → Status: Registered Error) only returns the current surviving lead records that actively hold that status.
• If the “Registered Error” status belonged to the losing merged record, that membership may no longer be associated with the surviving lead in a way the Smart List recognizes.

That’s why you see ~60 in the Members tab but only a subset in the Smart List.

How to Fix / Validate

  1. Pick one missing person.

  2. Open their Activity Log.

  3. Check for:

    • Merge Lead activity

    • Change Program Status activity

  4. Confirm whether the surviving record still holds the “Registered Error” status.

Workaround Options

Option 1 (Recommended)
Create a Smart List using:

  • Program Status was Changed

  • New Status = Registered Error

  • Program = [Your Webinar]

This will capture anyone who ever moved into that status, even if merges affected visibility.

Option 2
Export the Program Members list directly from the Members tab (filter by Registered Error) and re-import/update status to “No Show.”

Option 3
If this is recurring, consider running a batch campaign:

  • Smart List: Member of Program = Registered Error

  • Flow: Change Program Status → No Show

  • Add constraint “Not Attended” (if using Adobe Connect sync)

Thank you for the response, I can only see the registered error records, but unable to download the list even from members tab, once I downloads it would disappear all registered error records.

Hence, I managed to select emails from members tab and ran batch campaign to update their status.
