Tracking Historic Status Changes

I am looking to track the timeline historic changes of status - (mainly Approved to Complete) of projects. I can see the day it happened, but not the time it spent in a single status. This needs to happen without the use of Fusion and preferable excel. 

 

I have been looking into the journal reporting with calculations and so far nothing.

Can you share a little more about the “nothing” part of your post? e.g. “I’ve used a journal entry report, and this gives me XYZ but I would prefer ABC”, would provide some info on how to help.

 

If it is a case of your report not displaying rows, can you paste the filters you’re using. And if it’s not showing data in the columns, can you screenshot the column headers and talk about what you need instead?

I am trying to use a journal entry report, to give me the timeframe between the status APR and CPL. I thought the columns Old Date Value and New Date Value would show those date/times but they are blank. Below are my filters.  

 

  • Filters:
    • Journal Entry Field name equals status
      • And
    • Journal Entry New Text Value equals CPL
      • And
    • Journal Entry Old Text Value Equals APR
      • And
    • Journal Entry Date Between $$TODAYby $$TODAYey
      • And
    • Project Owner ID XX (name removed)
      • And
    • Journal Entry Project ID Is not blank
      • And
    • Journal Entry Change Type Equals Edit

Ah ok thank you -- that is helpful. 

 

I’m not super great at journal entry reports so maybe someone will correct me, but here is how I think it works.

 

“Old Date Value” and “New Date Value” are used in date fields themselves. So if you are reporting on a date field that you are tracking, for example the planned completion date, you will be able to use old and new date values to track the changes on the planned completion date field and when they happened (it changed from 9/1 to 9/2 on 8/30).

 

Right now in your view, you can clearly see old and new text value (e.g. it went from APR to CPL). You will know when (entry date). That’s it.

 

In order to figure out how long it spent in APR status, you need to locate the journal entry line when it changed to APR, and subtract that entry date from the line when it changed to CPL. (hopefully that made sense? So it is a pair of lines that will give you start and end time based on the two entry date values)
