Proof comments showing in updates/notifications

I have users reporting that every single comment/edit that is posted on a proof is now showing up in the blue notifications box in Workfront and everyone seems to be complaining about how much it is clogging up their updates/notifications and wants it to go away. I have each of their proofing profiles set to “Decisions” and I thought by unchecking the box under their WF profiles - notifications - communication - someone makes a comment on my document might help, but it does not. Is there any way to turn this off so every single proof comment doesn’t hit WF notifications? I don’t know if the change should be made on the user, in WF or in Proof HQ?? Seems like this just started -

To clarify, you’re talking about Proof classic, right? Assuming that’s the case, you’ve done the right thing to set their default communication preferences, however proofs that are already in flight will retain communication preferences set for that proof. In other words, a new communication preference will not be retroactive because an individual (assuming they have the privileges and knowhow) can set their communication preferences at the individual proof level.

That is correct - Proof HQ (Workfront Proof) - their communication preference has been set to “decisions” for over a year or more, so that wasn’t a recent change. Just trying to figure out how to keep every single proof comment out of notifications. If there are 75 proofs and 5 comments of every proof, that’s a lot of notifications clogging the notifications box. It’s too hard to find simple updates, like questions on Workfront project because the proof commenting it out of control in that same tiny window area.

Hmm. Considering how long it’s been since you set the defaults to a quieter cadence, I would (if you haven’t already):

  1. Check a few proofs to see if, for whatever reason, the user’s notifications were set to something noisier.
  2. Double-check that these specific users’ defaults are what you expect.

If you find that the defaults aren’t in place, either they were customized by someone else at some point or there’s something hinky going on. In that case, a ticket to support might be in order.

If you have the privilege, this might be incentive to move to the new Unified Approvals functionality. I haven’t done it myself, but I suspect the notifications preferences are going to be more customizable at the user level so that you don’t have to be so involved.
