Export all Proof summaries of a portfolio or project

Hi,

I am looking at a solution to export all comments that have been made on all proofs of the projects in my event portfolio to extract learnings for my team. Are there any options with excel exports in bulk or any Fusion scenarios that you have found helpful?

 

Additionally an export of all comments in update sections would be great as well.

if your proof comments are still in the format where they come through with “Proof Comment:” starting off the update, I think you’re just asking to make a Note report and filter for notes that contain “Proof Comment:” and are located in the event portfolio. Similarly all the other comments could be located the same way (Note does not contain “proof comment” and is in the event portfolio)

 

I’ve been trying out the MCP connector connecting an AI to Workfront and this might also end up working well if your goal is to extract learnings.

Hi ​@TraKill , the cleanest native option here is a Note report, which you can export to Excel for exactly this kind of bulk review.

Create a Note report filtered to your event portfolio and to proof comments. In text mode:

project:portfolio:name=Your Portfolio Name
project:portfolio:name_Mod=cicontains
noteText=Proof Comment:
noteText_Mod=cicontains

Add columns for Note Text, Entry Date, and Owner Name, group by project, and export. For the update-section comments, run a second Note report with the same portfolio filter but reverse the text condition (does not contain "Proof Comment:").

One caveat that the "Proof Comment:" prefix only applies to proof comments that synced back into the Workfront updates stream, so it's worth spot-checking a project you know has proof comments before relying on it portfolio-wide. Any comments that live only in the proof viewer won't appear in a Note report.
