Enhancement Request: Add a Native “Cancelled” Status for Workfront Tasks
Customer request
The customer requests a native Cancelled system status for Workfront tasks, available as an Equates With option for custom statuses.
Current behavior
The customer can create a custom status named “Cancelled,” but it must map to an existing system status. The closest option is “Complete.” When a task is cancelled using that mapping, its planned hours and assignment remain in place, and the task may be represented as complete in reporting.
Customer impact
This can make resource planning and KPI reporting inaccurate: cancelled work may continue to appear as planned work for the assigned user and may be counted with completed work. The customer says the current workarounds are to manually remove planned hours and assignments, or to automate the process using Approval and Adobe Fusion. The automated approach requires workflow development and ongoing maintenance, and may require a Fusion license.
Requested enhancement
Please consider adding a native Cancelled system state that can be selected as the “Equates With” value for a custom task status. When a task is moved to this status, the customer would like Workfront to:
Automatically reset planned hours to zero, or otherwise exclude the cancelled work from resource-planning calculations.
Automatically unassign the task.
Keep the task rather than deleting it, preserving its comments, documents, updates, approvals, and history.
Allow the task to be reactivated by changing it to a non-destructive status, such as New or In Progress, without recreating the task.
The customer also asks that the task’s established details be preserved so the work can be resumed if needed.
Reproduction steps
Create a task, assign it to a user, and set planned hours (for example, 8 hours).
Create a custom “Cancelled” status and set Equates With to “Complete.”
Change the task status to “Cancelled.”
Observe that the planned hours and assignment remain, and the task is associated with the Complete system state.
Expected outcome
A native Cancelled state should distinguish cancelled work from completed work, keep cancelled tasks out of active resource planning and completion reporting as appropriate, and preserve the task and its history for possible reactivation.
