[Event Follow-Up] Understanding Unified Approvals: Direction, Reporting, and What’s Next – 3/26/26

A HUGE thank you to ​@MikeEngel  for sharing all his knowledge on the Unified Approvals transition! We realize there were a lot of unanswered questions from the chat so we are working on a consolidated Q&A that we’ll post here later, as well as discussing additional webinars to address these! 

 

As discussed today, access to Unified Approvals will be based on your Workfront contract renewal date, but if you want to get access earlier, reach out to your account team to see if you can recontract early!

Senior Product Manager Mike Engel shared updates on the new Unified Approvals experience, bringing enhanced review and collaboration tools for both video and non-video assets. Mike demo’d the new experience, including annotation and collaboration tools. He also discussed the transition, which will allow teams to adopt it in stages (using both legacy and new approvals, as needed) as well as potential future capabilities.

Much like the AMAs we’ve had not too long ago, this is a great thread for those to ask additional questions. Some admins are already in the Unified Approvals and can probably chime in with their experiences.

 

One major clarification I took away from the event: Unified Approvals is already launched and there are updates and new features rolling out regularly. So why don’t you have it? Instances won’t have the option in their Setup area to turn it on until they sign a new contract. If you want to initiate this sooner, contact your account representative.

Hi Lyndsy,
Yes! Unified Review and Approval is available now. It does require a new contract because it’s using a completely new storage system, Adobe Enterprise Storage, which is powering this integration. Once the contract is signed then you’ll see those setup options to toggle between Legacy storage and workflows and Adobe Enterprise storage and workflows (or both at the same time!).

I was unable to attend, but I just listened to the recording.  My question surrounds reporting and the API.  We’re currently working on a process to extract info on proofs (e.g., reviewer role, reviewer decision) through the Workfront Proof connector in Fusion and update a custom document form where the info can then be accessed through regular Workfront reporting and in Power BI via an API call.

I just tested out the Unified Approval process in our sandbox preview environment.  I see that the API Explorer lists a Document Approval object and shows Approvals as a collection under the Document object.  I used a Custom API Call module in Fusion to search for my test document and show the Approvals collection.  The call ran without error, but the Approvals array shows as empty.

I know some approval information is available via Canvas Dashboards--we’re in the beta, and I played around a bit, but the builder is difficult to navigate and the report result was underwhelming.

What is the timeline for making the Document Approvals object API fully functional and reportable?  The switch to Unified Approvals is a non-starter for us until this is implemented.  Thanks.

I’m seeing from earlier posts that DOCAPL is actually for an older Document Approval object--so nothing yet for Unified Approvals?  Customers who renew from Jan 1 onward must use Unified Approvals, but the reporting supporting this change is stuck in beta?

Hi KristenS_WF, the ability for Fusion to support unified review and approvals actions, triggers, and events, is slated to be delivered in Q2--likely sometime around May/June.

Grateful for this - the “Integration requirements” section helped me understand why that “Storage Preferences” area doesn’t appear even though we renewed this month. Our Workfront and Frame.io instances are on different IMS orgs. Thanks Leslie!

We are in the same boat. Is there somewhere that I can learn more about what goes into migrating Frame/Workfront into the same IMS org? This integration with Frame will be a MASSIVE win for our team and would love to implement it asap.

This was super helpful! We’ve reached out to our rep about getting the new contract.

I am curious about 2 things:

  1. How will Frame handle file storage if you have a team already using Frame for video that isn’t integrated and won’t be integrated into Workfront? I hope we can keep things separate, especially if we’re going to be clogging up Frame with every project name (storage limits and maintenance will be interesting too).
  2. What will reporting look like. I’m assuming it will only be available via Canva and that hasn’t been a great experience so far when trying to report out on proofs or approvals.

Hi Elvin,

  1. You’ll need Frame v4 for the integration. A key piece of the project sharing is that is that the project has to start in Workfront. For a project started in Frame it will not sync to Workfront, so your teams can continue to use Frame as they do now and still take advantage of the integration. There are also some group level toggles that will limit access to the integration with Frame.io.  
  2. We are going to continue to lean into Canvas. If you’re finding gaps or it’s a frustrating experience I’m happy to hear those out. I can DM you my email if you’d like to provide me feedback directly.

Thanks for the reply Mike! We’re on Frame.io v4 so it seems like getting our SKUs updated is our last step. Working on that.

Great news about it keeping Workfront and Frame projects separate. 

I’ll take a look again at the canva reports but the last time I attempted to create something similar to what’s on the Home page for approvals it was difficult to find all the fields and get them in a single report. The idea would be to create a dashboard that shows approvals waiting for teams, groups, or job roles if possible.
