Manual Lead Exporting Limitations

Issue

You are trying to export a list of leads from Marketo, some of the records on the list are not being exported.

Solution

There is a limit when exporting records from Marketo, and it's a file size limit. You are only able to export a certain amount of data.

The amount of data being exported is dependent on how many visible fields are represented in the List Columns (controlled by the View), and of course how many records are in the list.

If you try to export 10K records with 5 field columns in the list view, this would be less data to export than if you tried exporting 10K records with 50 field columns in the list view.

If the list of leads is too large to export in one go, you'll have to break down into multiple smaller lists. You can create smart lists to export, and these smart lists could be separated with First Name 'starts with' "a" and export that list. Then make another smart, First Name 'starts with' "b" and export that list. Etc. You could do this 26 times, or you could try doing two letters at a time, First Name 'starts with' A or B, and export that list. But it really depends on the total number of records and visible columns in the View.

That's just one option, but you can apply the same principle with another attribute of your choice.

Another way to export a large quantity of leads would be with the API. Marketo Services can also export leads, but this would have an associated cost. If you would be interested in this, please contact your account representative.

Is there a good reason why this limitation exists? I have the requirement to export 4.8m records from Marketo but there's now way I'm going to sit here and code to the API or run 26 (or 10 or 5) exports.

Well, don't know if it's a "good" reason... but most multitenant + multiuser SaaS apps have limits for individual actions to ensure resources can be balanced. SFDC has UI-based limits as well (both raw row/size limits and time-based limits).  Only via API-based apps can you get masses of data out.

At any rate, you don't have a choice, and the Bulk Extract API isn't so hard to use, it's just a few annoying steps per export. You don't have to write code per se; if you manually babysit the exports and copy-paste you can use Postman.

That's great context thanks Sanford. I was just grumpy that, after waiting all day for my export to process, I found that I could not download it.

I'll submit a suggestion that these limits are enforced up front with suggestions for how to manage exports.

Great question Sean. I've used other systems and have never run into this issue before when exporting a list. I'm trying to export 150,000 contacts (all columns) and it's taken me 3 days now. This is not impressive on Marketo's part.

Oh, and one more thing, I completely agree with your reason to be grumpy. That's why I am grumpy now too, because only after 3 days of trying, I finally find out via a support ticket. If there are limitations, those should e pointed out as soon as I try to download a list that's outside the limitation.
