Engagement Program – Questions on Stream Setup

Hi Team,

I’m setting up an Engagement Program for one of our monthly batch-and-blast campaigns. The goal is to move contacts between streams based on their engagement, so I believe an Engagement Program would be the best approach.

We’ll have two streams: Awareness and Engagement. The Awareness stream will have four emails, sent weekly on Tuesdays. I have two questions:

  1. New contacts: The workflow will be refreshed every Monday to add any new contacts who were not part of the previous send. I want these new contacts to enter the stream but only receive the current week’s email, not previous emails. My understanding is that this can be managed through the Edit Availability settings by making each email available only on its scheduled send date, so new contacts automatically receive the next available email. Is that correct?

  2. Adding emails weekly: I don’t have all four emails ready yet and will add each email about two days before its scheduled send. Once a contact receives the first email, I think they will become exhausted. When the new email is added, will it automatically become available to those contacts, or do I need to run an additional workflow/campaign to reset the Exhausted flag from Yes to No?

Your assistance with this would be greatly appreciated, as we’re planning to go live with this tomorrow.

  1. Timing: I’m not using recipient time zone. I was trying to send the email at 1 PM CST and i had set up the cadence & the leads were also added to the EP about 30 minutes in advance. I had tested this before and remember it triggered the email, but it didn’t today. How far in advance should the cadence be set up to ensure the email triggers as expected? Just ensuring since we have the leads added to EP how much in advance should i schedule so its runs on schedule - Check if the same leads were used to test as with an EP you can not send the same leads same email twice & this could be the reason not mail not going out. There is no specific time mentioned for head start without RTZ but its advisable to atleast allow 1hr

  2. Changing the day/cadence: We originally expected the email to send every two weeks on Thursday, starting September 3. Since it didn’t send, we’re planning to send the first one on Friday, September 4. Is it possible to change the cadence for the next casts back to Thursday? Can this be changed midway without affecting the Engagement Program? I understand it may not be best practice, but we’re trying to find a way to work with the setup we already have. - Yes you can change the cadence, but than all future casts will be sent on Thursday.

  3. Changing the time: Similarly, is it possible to change the send time midway? For example, if the first email is sent at 1 PM CST, can the following emails be changed to 9 AM CST? - Yes but than all future casts will be sent at 9AM CST.

  1. Yes, if you update the content availability settings, this can be achieved.
  2. Adding emails weekly, Yes, the exhausted people will still receive the new content added to the stream, The only requirement is that those should be in Normal status not in paused.

I have a few follow-up questions, as this didn’t turn out the way I thought:

Hi ​@ashah123,

For the purpose of doing you can achieve what you have mentioned through EP.

But EP are not meant for Batch & Blast campaigns, I would recommend using an email send program. This will give you more flexibility in terms of reporting, adding new members.

Than based on the interaction of your lead with batch campaigns you can add them to an EP for further nurturing.

I think we’ve always used the Email Program, but at one point we wanted to try this approach as well. Engagement Programs are useful because they allow us to track the lead’s progress throughout the journey. Hope that helps!

I’m mainly trying to understand the reporting flexibility you mentioned with an Email Program versus an Engagement Program. Do you have any link so that i can check that out ?

The biggest advantage in terms of reporting is the Email Program Dashborad it self. You can get the entire matrix of the email from the dashboard without even creating a separate report. 

You can directly export from the dashboard. 

For the EP you will have to create a separate email performance report to check on the individual email matrix.

Agree with ​@uditmathur here. Your concept doesn’t necessarily need an Engagement Program. Smart Campaigns would be fine, as you specifically don’t want rolling casts (which are the power of EPs).
